Summary

We are looking for a highly organized, analytical, and technology-oriented Finance & AI Automation Specialist to support the company's financial operations, technology systems, and internal business processes.

The primary focus of this role is to strengthen financial operations, identify opportunities to leverage AI and automation, and improve the systems and workflows that support the business. The position will also provide support across HR administration and general technology management as needed.

The ideal candidate has a solid background in finance or financial operations, is comfortable working with technology, and enjoys finding ways to make business processes more efficient. They should be proactive, resourceful, and open to taking on additional responsibilities as the company grows.

Previous experience in every area of the role is not expected. We are particularly interested in someone who can contribute immediately in finance and technology while developing additional skills in HR and broader operations over time.

Key Responsibilities

Finance & Financial Operations
  • Support day-to-day financial operations, including expense tracking, financial reporting, and transaction monitoring.

  • Maintain accurate and organized financial records, spreadsheets, and accounting documentation.

  • Assist with budget monitoring, financial analysis, and cash flow tracking.

  • Support accounts payable, accounts receivable, and reconciliation processes as needed.

  • Prepare financial summaries and reports to help leadership monitor business performance and make informed decisions.

  • Identify opportunities to improve financial processes, reporting accuracy, and operational efficiency.

  • Coordinate with accounting and financial service providers when necessary.

AI, Automation & Technology Management
  • Identify opportunities to use AI tools and automation to streamline business processes and reduce manual work.

  • Explore and implement AI-powered solutions that improve productivity and operational efficiency.

  • Build, maintain, and improve automated workflows using tools such as Make, Zapier, or similar platforms.

  • Support integrations between business systems, including accounting, HR, payroll, communication, and operational platforms.

  • Manage company software platforms, subscriptions, user accounts, and system permissions.

  • Research and recommend technology solutions that improve efficiency, communication, and collaboration.

  • Maintain documentation for software processes, automated workflows, and technology procedures.

  • Coordinate with vendors and service providers to address technical issues and maintain business systems.

  • Support cybersecurity best practices, access controls, and technology onboarding and offboarding processes.

HR & People Operations
  • Support employee onboarding and offboarding, including employee records and documentation.

  • Assist with recruiting coordination, candidate communication, and hiring processes.

  • Coordinate payroll administration, benefits documentation, and leave tracking.

  • Help maintain HR policies, procedures, and employee documentation.

  • Support employee engagement, performance management, and internal communications.

  • Assist leadership with workforce planning and other people-related initiatives.

  • Maintain confidentiality of employee and company information.

Qualifications

  • 3+ years of experience in finance, accounting, financial operations, business operations, or a related field.

  • Strong analytical skills and experience working with financial records, reporting, and spreadsheets.

  • Proficiency in Microsoft Excel and Google Sheets.

  • Familiarity with AI tools such as ChatGPT, Claude, or other AI-powered business solutions.

  • Understanding of business systems, digital tools, and process improvement.

  • Strong organizational, problem-solving, and communication skills.

  • Ability to manage multiple priorities, work independently, and take initiative.

  • Adaptability and willingness to learn new systems and take on responsibilities beyond one's primary area of expertise.

Preferred but not required:

  • Experience with workflow automation platforms such as Make, Zapier, or similar tools.

  • Experience with accounting software, financial management systems, HRIS, or payroll platforms.

  • Previous exposure to HR administration, recruiting, onboarding, or people operations.

  • Experience implementing AI tools or improving business workflows through technology.

  • Bachelor's degree in Finance, Accounting, Business Administration, Information Systems, or a related field.

Ideal Candidate

The ideal candidate is someone with a strong foundation in finance and analytical operations who is also comfortable exploring and working with technology and AI tools.

They are naturally curious about automation, enjoy improving systems, and can identify practical ways to make business processes more efficient. They don't need to be an expert in every HR or technology function from day one, but should demonstrate initiative, adaptability, and the ability to learn and grow alongside the organization.

We value someone who can think critically, take ownership of their work, and contribute to building more efficient and scalable business operations.
