                                                                         Onboarding & Account Specialist

Role Summary

Reports to: Commercial Director

This is a rare opportunity to work hands-on with well-known international fashion and lifestyle brands and a European logistics network — without leaving Moldova. As an Onboarding & Account Specialist at CloudX Systems, you will be part of our local team in Chisinau while serving as a dedicated onboarding and account resource for Bergen Logistics, our US-based sister company within Elanders Group, supporting its European operations and reporting to the Commercial Director.

You will make sure every new Bergen Logistics Europe customer goes live smoothly — coordinating internal teams and external partners from signed contract to handover — and you will drive account, leadership, carrier and continuous improvement projects to completion. You will be grounded in CloudX’s culture and supported by our team in Chisinau, while working directly with customers, carriers and the Bergen EU leadership team across the Netherlands, Germany, the UK and the US.

Key Responsibilities

  • Customer onboarding: Own the onboarding of newly signed customers from signed contract to go-live and handover, coordinating the customer, Customer Service, Operations, the WMS/integration team, Billing and carriers.
  • Go-live readiness: Run kick-off and status calls with customers, keep timelines, open items and risks visible, and make sure rates, sales orders, carrier accounts and integrations are set up correctly before go-live.
  • Account projects: Support the Account Management team on projects for existing customers — such as new locations, new sales channels or service changes — including implementing new (non-technical) customer processes and preparing data, documentation and follow-ups for business reviews.
  • Leadership projects: Support projects initiated by the Bergen EU leadership team, such as process improvements, cost reviews and new-service launches — planning tasks, tracking progress and reporting status to stakeholders.
  • Carrier rate cards: Generate and maintain customer rate cards for UPS, DHL, DPD and other carriers.
  • Carrier accounts: Set up and implement carrier accounts and services for new and existing customers.
  • Carrier issues: Act as the first point of contact for carrier issues, including delays, claims, surcharges and invoice discrepancies.
  • Carrier cost analysis: Analyse carrier invoices and costs and support savings initiatives.
  • Continuous improvement: Spot recurring issues and bottlenecks across onboarding, account management and carrier processes, propose fixes and help roll them out with the relevant teams.
  • Standardisation: Help document and standardise ways of working, such as onboarding checklists and templates.

Requirements

  • 2+ years of experience in logistics, 3PL/fulfilment, e-commerce operations, account management or project coordination.
  • Proven project management skills — planning, prioritising, tracking and following through with many stakeholders, with several onboardings and projects moving at once.
  • Confidence on customer calls, including leading meetings and handling escalations.
  • Proficiency in Excel or Google Sheets for building rate cards and analysing invoices.
  • Strong problem-solving skills — you find the root cause and drive the fix.
  • Highly organised, with a structured way of working and strong attention to detail.
  • A proactive mindset — you spot issues early and suggest improvements without being asked.
  • Fluent English, spoken and written — daily communication with customers, carriers and Bergen teams across Europe and the US is required.
  • Bachelor’s degree in logistics, business or a related field, or equivalent experience.
  • Ability to work effectively and proactively in a cross-border, distributed team.

Nice to Have

  • Familiarity with parcel carriers (UPS, DHL, DPD) and their rate structures.
  • Experience working with a warehouse management system (WMS).
  • Experience with task management tools such as Jira, Notion or Monday.
  • Exposure to a shared services or multi-entity group environment.

What We Offer

  • Competitive fixed salary.
  • Health insurance, sport reimbursement and other perks.
  • Professional growth opportunities and ongoing learning support.
  • A collaborative and innovative team culture.
  • Flexible working hours and remote-friendly policy.
