Accounting Operations Specialist (Part Time, California)
Can you look at a stack of scattered invoices, contracts, and bank statements and see the story they’re trying to tell? Do you enjoy tracing a payment back to its milestone, finding the missing piece, and turning fragmented records into something clean, structured, and reliable? One of our California-based clients, a project-based professional services firm, is looking for a Part-Time Accounting Operations Specialist to take ownership of organizing their historical financial information, reconciling client and contractor payments, and building better tracking of project billing milestones.
BetterPros unlocks human potential by offering competitive compensation, flexibility, constant learning and growth, and the opportunity to work anywhere you want with one of our +130 active clients across the United States.
What you’ll do:
Accounting & reconciliation: manage and organize accounts payable (AP) and accounts receivable (AR) records, and reconcile invoices, client payments, contractor payments, and bank transactions.
Identify discrepancies and missing information across financial records, and keep accounting records accurate and up to date in QuickBooks.
Project accounting: review contracts, project records, and payment histories to reconstruct each project’s financial history by matching billing milestones, invoices, and payments.
Track project phases, completed milestones, amounts invoiced, payments received, and outstanding balances.
Identify gaps between project documentation and accounting records, and build structured databases and trackers to improve project-level financial visibility.
Data management: consolidate financial information from QuickBooks, spreadsheets, emails, and other historical records, and clean up customer and vendor information.
Develop tracking spreadsheets and reporting tools that support ongoing decision-making.
Document existing workflows, establish standardized accounting procedures, and identify opportunities to streamline manual processes.
Work collaboratively with the current team while providing consistent operational support with minimal supervision.
What you must have:
Minimum 5 years of experience in bookkeeping, accounting operations, or financial administration.
Advanced English level, both written and spoken.
Advanced hands-on experience with QuickBooks Desktop.
Strong knowledge of accounts payable, accounts receivable, invoicing, and payment reconciliation.

Advanced Excel and Google Sheets skills, including data consolidation and reconciliation.
Proven ability to investigate historical financial records and identify inconsistencies.
Strong analytical, problem-solving, and organizational skills, with sharp attention to detail.
Ability to work independently and manage large volumes of information.
A disciplined, responsible, and eager-to-learn mindset.
A great plus:
Experience supporting architecture, engineering, construction, or other project-based professional services firms.
Familiarity with contractor payments and project cost tracking.
Experience with QuickBooks Online.
Experience creating financial trackers, databases, and reporting systems from scratch.
Background in process improvement and accounting workflow optimization.
