Working directly with the client's internal team and reporting to the President, you will help establish consistent documentation, improve administrative workflows, and keep multiple construction projects organized and up to date. This is a long-term opportunity for a proactive professional who enjoys taking ownership of systems, improving operational efficiency, and supporting a growing construction business.

Schedule: Part-time, approximately 20 hours per week, with potential to increase hours as responsibilities grow. Consistent availability during agreed working hours, with overlap during U.S. Central Time business hours, is required.

  • Construction Project Administration: Maintain project files, schedules, contracts, proposals, drawings, photographs, purchase orders, change orders, and other essential documentation.
  • Daily Project Monitoring: Review daily logs, employee time entries, open work orders, and project updates to identify missing information and ensure records remain current.
  • Team Coordination: Proactively follow up with project managers, field personnel, and internal team members regarding outstanding documentation, approvals, and project requirements.
  • Financial Documentation Support: Track purchase orders and approved change orders, organize subcontractor invoices, and prepare completed project documentation for invoicing and closeout.
  • Workflow Optimization: Develop and maintain standardized administrative procedures, improve documentation processes, and identify opportunities to reduce manual administrative work.
  • Management Reporting: Provide regular updates on project statuses, outstanding items, and administrative priorities while independently coordinating multiple active projects.

  • Proficiency in Microsoft Office, Excel, Outlook, and digital document management.
  • Experience coordinating multiple projects, maintaining project records, and developing standardized administrative workflows.

Professional Skills Required
