Job Description

Anticipated Contract End Date/Length: Initial 3-month contract, with a potential 6-month extension
Work set up: Remote

Responsibilities

Salesforce Administration and CRM Management

  • Maintain and update contact records, campaign information, and event-related data within Salesforce.
  • Create and update contacts, manage attendance statuses, and ensure records are accurate and complete.
  • Maintain event campaign records and ensure attendee information is correctly captured.
  • Update post-event attendance records to trigger automated follow-up communications.
  • Identify and correct duplicate, outdated, or incomplete records.
  • Investigate missing information and ensure CRM records meet internal data quality requirements.
  • Support the consistent use of Salesforce processes and workflows across the programme.

Shared Inbox and Enquiry Management

  • Monitor and manage the programme's shared inbox, responding to enquiries in a timely and professional manner.
  • Handle event registration queries, access requests, attendee questions, and general programme enquiries.
  • Manage incoming requests efficiently and escalate more complex matters to the relevant team members.
  • Maintain clear records of enquiries and follow-up actions where required.
  • Ensure communications are accurate, helpful, and aligned with the organisation's standards.
  • Help manage fluctuations in inbox volume around busy event periods.

Event Administration and Post-Event Processes

  • Provide back-office administrative support across a busy calendar of virtual and in-person events.
  • Update attendee and attendance records following events.
  • Ensure post-event data is processed promptly so automated follow-up communications can be triggered correctly.
  • Support registration administration and maintain accurate event records.
  • Coordinate with the programme team to ensure all relevant event administration is completed within agreed timelines.
  • Help maintain consistent processes across the annual event schedule.

CRM Data Quality and Audience Management

  • Review and clean existing CRM records to improve data accuracy and completeness.
  • Identify missing consent information and support the appropriate review and updating of records in line with internal procedures.
  • Assist with maintaining audience databases and ensure contact information remains up to date.
  • Support the identification and review of potential Non-Executive Director contacts who are not currently engaged with the programme.
  • Help organise and maintain audience information to support future engagement activity.
  • Handle contact data carefully and follow applicable data protection and confidentiality requirements.

Programme Operations and Team Support

  • Provide dependable operational support to the existing NED programme team.
  • Help relieve administrative pressure so the team can focus on event delivery, stakeholder relationships, and programme development.
  • Maintain accurate documentation and follow established processes.
  • Identify recurring administrative challenges and suggest practical improvements.
  • Work collaboratively with colleagues to prioritise tasks and manage competing deadlines.
  • Provide updates on workload, outstanding actions, and any issues requiring attention.

Qualifications

Essential Skills and Experience

  • Proven, hands-on Salesforce experience is essential. Candidates must be comfortable working directly within Salesforce rather than having only general CRM exposure.
  • Experience maintaining CRM records, updating contact information, and managing campaign or event-related data.
  • Strong administrative and organisational skills, with excellent attention to detail.
  • Experience managing a shared inbox, handling enquiries, and responding professionally to stakeholders.
  • Ability to work accurately with large volumes of contact and event data.
  • Confidence in identifying data discrepancies, correcting records, and following established processes.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, prioritise effectively, and meet deadlines.
  • A proactive, reliable, and solutions-focused approach.
  • Capacity to work independently in a remote environment while collaborating effectively with a wider team.
  • Professional handling of confidential information and awareness of data protection requirements.

Desirable Experience

  • Background supporting corporate programmes, event teams, or senior stakeholder engagement initiatives.
  • Experience using Salesforce campaigns, event attendance tracking, and automated communications workflows.
  • Familiarity with marketing automation tools and event registration platforms.
  • Experience maintaining consent records and supporting CRM data cleansing activities.
  • Previous experience within professional services, financial services, or a large corporate environment.
  • Experience supporting Non-Executive Directors, senior executives, or other professional audiences.

Previous event management experience is not essential. This is an operational support role, and strong Salesforce capability is the priority.

Ideal Candidate Profile

The ideal candidate is a highly organised, service-oriented professional who enjoys working with systems, maintaining accurate data, and ensuring administrative processes run smoothly.

They will be comfortable managing a busy shared inbox, working through CRM records methodically, and following up on outstanding queries without requiring constant supervision. Dependability, attention to detail, and confidence in following established processes while identifying opportunities to improve efficiency are essential. The ability to handle sensitive information appropriately and communicate professionally with senior stakeholders is also important.

Above all, the successful candidate must have practical Salesforce experience and be ready to contribute quickly within an established team.

Why This Opportunity?

This is an opportunity to support a high-profile executive engagement programme within a leading professional services environment.

The role will contribute directly to improving operational efficiency, maintaining reliable CRM data, and ensuring enquiries and event administration are handled effectively. This support will enable the wider team to focus on delivering valuable events and building meaningful relationships with senior business leaders.

Interested? If you have strong Salesforce experience, excellent administrative skills, and enjoy keeping systems, data, and communications organised, we would love to hear from you.
