Job description

The role:

Summary:

We are seeking a highly organised, proactive and resourceful Delivery Coordinator to support the effective execution of key academic, administrative and regulatory activities within our online high school.

The Delivery Coordinator will play an important role in coordinating academic and administrative deliverables, particularly those associated with our assessment body, SACAI.

This is a hands-on, execution-focused role requiring strong organisational skills, attention to detail, confidence working with data and the ability to manage competing priorities. The successful candidate will work independently, take responsibility for completing assigned deliverables accurately and on time, and proactively identify opportunities to improve efficiency through process improvements and automations, accuracy and scalability.

ACADEMIC & OPERATIONAL DELIVERY

  • Coordinate and execute key academic and regulatory administrative activities, including learner registrations, mark sheets, moderation submissions, examination administration and other recurring deliverables.
  •  Support the administration of learner progression, subject changes, sanctions, appeals and related academic processes.
  • Maintain accurate operational records and submission trackers.

QUALITY ASSURANCE & DATA INTEGRITY

  • Execute and support quality assurance activities across academic and operational deliverables, including learner reports, assessment records, mark sheets and regulatory submissions.
  • Utilise internal data systems, dashboards and reporting tools to retrieve, reconcile and prepare information for academic and regulatory administrative requirements.
  • Conduct data validations and quality assurance checks to identify discrepancies and ensure the accuracy and completeness of records and submissions.
  • Collaborate with relevant teams to improve data accessibility, streamline data-driven workflows and support the effective use of automated processes.

SACAI LIAISON & REGULATORY COORDINATION

  • Serve as a key operational liaison with SACAI for administrative requirements, submissions, queries and follow-ups.
  • Proactively clarify requirements, obtain necessary templates and information, and plan well in advance to ensure regulatory deadlines are met.
  • Coordinate the execution, alongside an AI agent, of actions arising from SACAI communications, circulars and administrative requirements, ensuring appropriate follow-through.
  • Maintain a consolidated view of SACAI deliverables, submission statuses and outstanding actions, providing regular updates and escalating risks or delays to relevant stakeholders.
  • Engage with SACAI and internal teams to identify practical, compliant and efficient approaches to meeting submission requirements.

PROCESS IMPROVEMENT & OPERATIONAL EFFICIENCY

  • Continuously evaluate workflows to identify inefficiencies, eliminate manual tasks, and drive operational accuracy.
  • Identify opportunities for automation and partner with Data and/or Tech Teams to design, automate, and implement scalable workflows.
  • Develop, document and regularly update standard operating procedures (SOPs) to ensure processes are clear, consistent and repeatable.

EDUCATION & EXPERIENCE

  • 3–5 years in an administrative, operational, or coordination role, with a proven track record of managing time-sensitive deliverables independently.
  • Demonstrated experience working with datasets, spreadsheets, dashboards and reporting tools to retrieve, validate, reconcile and prepare information.
  • Strong expertise in Google Sheets or Microsoft Excel, with demonstrated experience working with datasets, dashboards, and reporting tools to retrieve, validate, and reconcile information accurately.
  • Proven ability to streamline manual workflows, eliminate inefficiencies, and adopt digital tools or automation to improve operational execution.
  • Excellent written and verbal communication skills for internal and external collaboration.
  • Experience in education, academic administration, examinations, or regulated environments is highly advantageous.
  • Strong organizational skills, sound judgment in risk identification, and a proactive, detail-oriented approach to meeting deadlines and following up on pending tasks.
  • Fast, adaptable learner of new software/systems with a reliable internet connection for remote work.
