Now, we’re looking for talented individuals to join our team and make a difference.

Purpose of the Job:

International SOS has experienced a consistent year-over-year increase in RFP and tender opportunities over the past three years, resulting in significantly higher volumes and increased demands on the Bid Management function. To maintain responsiveness to clients, preserve proposal quality, and capitalize on growth opportunities, International SOS is investing in the expansion of its bid team by recruiting an additional Bid Writer.

The primary purpose of this role is to partner with the Bid Management team in the preparation, coordination, and submission of winning proposals, bids, and tenders for clients and prospects across the United States and Canada. The position will be responsible for developing compelling written responses, coordinating cross-functional input, ensuring compliance with client requirements, and supporting the continuous improvement of bid processes and resources. This role is critical to ensuring International SOS has the capacity to effectively manage growing RFP activity while continuing to deliver high-quality, customer-focused proposals that support business growth and market expansion.

Essential Job Duties and Responsibilities:

  • Lead the development, coordination, writing, and submission of high-quality responses to RFPs, RFQs, tenders, and other business opportunities.
  • Manage proposal activities throughout the bid lifecycle, ensuring adherence to established bid processes, timelines, and governance requirements.
  • Collaborate with Sales, Operations, Finance, Legal, and other subject matter experts to gather information and develop compelling proposal content.
  • Produce clear, persuasive, and customer-focused responses that effectively communicate International SOS’ value proposition and differentiators.
  • Ensure all submissions are compliant with client requirements, evaluation criteria, and submission instructions.
  • Manage proposal document control, review cycles, approvals, and version control through to final submission.
  • Coordinate bid reviews and incorporate stakeholder feedback to improve proposal quality and competitiveness.
  • Support bid qualification (bid/no-bid) activities and identify potential risks to successful submission.
  • Manage client clarification requests and support post-submission activities as required.
  • Maintain proposal content, templates, and knowledge repositories, while contributing to ongoing process improvements and bid best practices.
  • Effectively manage multiple concurrent opportunities and competing deadlines in a fast-paced environment.
  • Support the Regional Bid Management Director on strategic projects and initiatives that enhance the effectiveness and capacity of the Bid Management function.

Required Skills and Knowledge:

  • Strong proposal, bid, and tender management knowledge, including RFP, RFQ, and procurement response processes.
  • Excellent written communication, technical writing, editing, and proofreading skills, with the ability to develop clear, persuasive, and client-focused proposal content.
  • Strong commercial and business acumen, with the ability to understand client requirements and articulate value propositions and solution benefits effectively.
  • Excellent verbal communication and stakeholder management skills, with the ability to collaborate effectively across cross-functional teams and varying levels of the organization.
  • Strong analytical and critical thinking skills, with the ability to interpret complex requirements, identify compliance requirements, and develop appropriate response strategies.
  • Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint; experience with proposal management tools (e.g., Loopio) highly preferred.
  • Knowledge of proposal governance, document management, version control, and quality assurance best practices.
  • Strong organizational and project coordination skills, with the ability to manage multiple concurrent opportunities and competing deadlines.
  • Understanding of bid qualification, proposal development methodologies, and best practices associated with winning proposal submissions.
  • High level of accuracy and attention to detail in reviewing and preparing client-facing documents.

Requirements:
