ID 4501 – HR Operations

We are looking for an HR – Back Office Administrative role that will collaborate with an international team worldwide.
This position will report directly to the Managing Director of our German subsidiary and focus mainly on European operations in collaboration with other European and American colleagues.

The position tasks will require assistance to carry out and carrying out the following tasks:
Purchases and Payments:
● Handle payment process.
● Execute purchase orders and process.
● Handle banking and invoicing tools

Accounting & Payroll:
● Handle weekly, monthly and annual cashflow reports.
● Collaborate with our external advisors on payroll execution.
● Handle banking and invoicing tools.

Travel assistance and execution:
● Help delivery teams with travel booking and collaborate with internal company teams.
● Help organize company activities and annual gatherings.

Logistics and operations:
● Assist with hardware kit logistics for onboardings and offboardings of the team.
● Implement AI enhanced workflows as the opportunities allow.

Qualifications and requirements:
● Languages:
– English: C1: mandatory.
– Spanish: B2: nice to have.
– German: B2+: nice to have.
● Study levels:
– Highschool complete: mandatory.
– University student of Business Administration / Marketing or similar field: nice to have.

Technical qualifications:
● Advanced use of office software:
– MS Excel / Google Sheets: mandatory.
– MS Word / Google Docs: mandatory.
● Curious to adopt AI enhanced workflows with proper training.

Communication and organization skills:
● Be able to communicate clearly with multiple stakeholders clearly, concisely and identify possible conflicting requirements: mandatory.
● Be able to prioritize tasks independently and accommodate other people’s needs understanding what is most important (personal order vs organization order): mandatory.
● Be able to follow a given order: mandatory.
● Propose updates to improve task efficiency: nice to have.
● Be able to track its own work, use project management tools (ticketing systems) and converge requests from multiple channels to PM Tools on its own: mandatory.
