Job description

About the Role

Are you the person who keeps things moving, catches the details others miss, and makes sure nothing falls through the cracks? We’d love to meet you.

At Ami Arroyo, Inc., we believe recruiting should be personal, efficient, and grounded in good information. We’re looking for a Business Development Coordinator to help turn approved account research into thoughtful outreach and real buyer conversations.

You’ll work closely with our founder to keep business development organized and moving. Our founder will lead relationships, discovery, proposal decisions, pricing, and closing. You’ll own the execution and preparation that make those conversations possible.

What You'll Own

  • Build clear weekly outreach queues from approved target accounts. Check priorities, existing activity, exclusions, and possible duplicate outreach.

  • Verify buyer names, contact information, and business mailing addresses. Flag conflicting or missing details before taking action.

  • Prepare approved letters and mailing packets, coordinate printing and mailing with a U.S.-based teammate, and confirm when letters were actually mailed.

  • Complete approved follow-ups, surface buyer responses quickly, and help schedule relevant conversations with our founder.

  • Organize event contact lists and coordinate approved post-event outreach.

  • Assemble proposal documents using approved templates. Check for missing or inconsistent information and send drafts to Ami for review and final approval.

  • Keep our CRM accurate and current: actions taken, dates, responses, next steps, owners, and deadlines. Share a concise weekly update on progress and blockers.

What You'll Bring

  • At least two years of administrative, sales-support, recruiting-coordination, or client-operations experience, with examples of work you’ve owned through completion.

  • A track record of accurate records and reliable follow-through. You’ve managed deadlines, follow-up queues, next actions, and handoffs without repeated reminders.

  • Strong professional written and spoken English. You can write clearly, listen closely, ask questions, and summarize next steps with confidence.

  • Hands-on experience using a CRM to maintain accurate activity, contact records, and next steps. You’re comfortable learning new digital workflows.

  • Independent remote-work habits and the ability to maintain an agreed daily overlap with CST hours.

  • Sound judgment. You check details, protect sensitive information, flag missing approvals, and know when a decision belongs with Ami.

  • Comfort using AI to support your work, with the discipline to check facts, names, claims, and final output before anything is shared.

Experience That's Helpful

  • U.S. client or team experience is a plus, but clear communication matters more than employer names.

  • Apollo familiarity is preferred, with training available.

  • Staffing or B2B-services experience helps; autonomous vehicle or physical AI expertise isn't required.

What Success Looks Like

  • Approved accounts receive accurate, timely outreach.

  • Follow-ups happen when they should.

  • Buyer replies reach our founder with useful context.

  • Relevant meetings take place, records stay clean, and our founder has more time for high-value conversations.

If you love bringing order to moving pieces and take pride in following through, we'd love to hear from you. At Ami Arroyo, Inc., the details matter because people matter, and we're excited to meet someone who brings that same care to their work.
