Job description

Description

What You Will Do

  • Execute operational workflows supporting PMO delivery, customer onboarding, assessments, reporting, project coordination, delivery scheduling, LeaderLab administration, quality control, and invoicing.
  • Maintain delivery discipline by managing trackers, documentation, scheduling, system accuracy, and workflow follow-through across multiple accounts, projects, and recurring programs.
  • Partner with PMO, RMO, Adjunct, CSM, Consulting, Product, Support, and Technology teams to ensure seamless coordination, readiness, and customer experience.
  • Ensure data quality, cycle-time efficiency, proactive communication, and reliable issue routing in line with PMO Tenets.
  • Support evolving PMO priorities, including assessment migrations, new customer integrations, 360 and Targeted Feedback implementations, Impact Evaluation implementations, LeaderLab customer onboarding, and new-product delivery readiness.
  • Serve as the operational backbone for PMO, enabling execution excellence, customer time-to-value, and emotional loyalty through dependable, accurate work.

Responsibilities

  • Own daily operational intake and mailbox management for assessments, feedback scheduling, customer and participant questions, workflow triggers, issue routing, and follow-through.
  • Administer assessment and feedback operations—including L3, MR, Leadership Mirror, Performance Accelerator, Spotlight, Senior Learning Experience, Executive Assessments, Targeted Feedback, and other supported solutions—through platform setup, launches, reminders, completion tracking, troubleshooting, report generation, quality control, release, and client support.
  • Maintain accurate participant, roster, cohort, prework, assignment-link, configuration, and SharePoint data; create, quality-check, and distribute STRs, participant reports, heatmaps, evaluation summaries, usage reports, and other customer-ready outputs.
  • Coordinate interviews, feedback sessions, delivery resources, team meetings, implementation calls, and multi-cohort events across time zones; partner with RMO on resourcing, attendance, facilitator alignment, and technical setup.
  • Maintain trackers and documentation across complex programs, recurring accounts, migrations, and implementations; identify dependencies, capacity signals, risks, schedule changes, exceptions, and make-up needs, escalating unresolved issues and constraints early.
  • Support Pinpoint-to-LeaderLab and AOS-to-LeaderLab migrations, new customer projects and integrations, and project transitions through scheduling, assignment-link transfer, customer and administrator setup, data and configuration checks, readiness coordination, training reinforcement, workflow documentation, knowledge capture, and cross-functional handoffs.
  • Coordinate Impact Evaluation implementations, including intake, implementation calls, readiness checks, customer follow-up, documentation, reporting inputs, and cross-functional handoffs.
  • Contribute to delivery readiness and new-product launches through user-acceptance and readiness support, documentation, training coordination, launch activities, post-launch issue tracking, and continuous process improvement.
  • Prepare and maintain QBR, usage, GWE, impact-evaluation, participant, session, assessment, and delivery data; create IRFs and provide accurate inputs supporting invoicing and business reporting.
  • Use Pinpoint, AMS, Power BI, ScheduleOnce, Dynamics, LeaderLab, SharePoint, and internal DDI platforms to execute workflows accurately and efficiently; monitor workload and recurring commitments and support prioritization through current trackers and weekly check-ins.
Requirements

Basic Qualifications

  • High attention to detail and the ability to manage large volumes of data, scheduling tasks, recurring workflows, and deadline-sensitive deliverables.
  • Experience with Microsoft Office, SharePoint, and scheduling tools such as ScheduleOnce.
  • Adaptability to shift priorities, multiple programs, complex customer workflows, clustered demand, and new or evolving responsibilities.
  • Strong communication and follow-through, with the ability to close loops, coordinate across functions, support customers professionally, and proactively escalate issues.
  • Ability to organize work across multiple accounts, minimize errors, maintain confidentiality, and perform effective quality control.
  • Comfort learning and working in Pinpoint, AMS, Power BI, Dynamics, LeaderLab, SharePoint, and internal DDI platforms.
  • Ability to learn new products and processes quickly and apply documented procedures while identifying opportunities to improve them.

Success Profile

  • Reliable, proactive, and consistent in communication, workflow execution, and follow-through.
  • Calm under pressure, with strong task-management, prioritization, and organizational skills.
  • Able to simplify complexity and maintain clarity in fast-moving, high-volume operational environments.
  • Embraces learning, feedback, and development through PMO Academy, LeaderLab, Sprint cycles, and new-product readiness activities.
  • Demonstrates ownership, customer centricity, and the ability to anticipate needs across PMO, customer, and cross-functional teams.
  • Balances accuracy and speed while recognizing dependencies, surfacing risks early, and protecting customer and delivery timelines.
  • Adapts effectively as the role expands from transactional support into implementation, platform administration, readiness, reporting, and customer-facing coordination.
