We’re looking for a proactive and detail-focused Admissions Officer to join our central services department. This role works closely with Sales, Partner Support, Accounts Receivable and our schools to ensure applications are processed accurately, payments are tracked, and students and agents receive clear, timely communication.

You will play a key role in managing bookings from enquiry through to arrival, while helping to protect revenue and maintain strong agent relationships across the region.

Key Responsibilities:

  • Process individual student and group applications accurately and within agreed timelines.
  • Handle group enquiries, prepare quotations and coordinate with Sales and schools to confirm availability, pricing and booking requirements.
  • Manage group bookings, including student lists, course details, accommodation, transfers and other arrangements.
  • Liaise with agents, group organisers and schools to ensure group requirements are communicated clearly and arrangements are confirmed ahead of arrival.
  • Prepare and issue invoices, visa letters, accommodation confirmations and pre-arrival documentation for individual students and groups.
  • Monitor payment deadlines and follow up with agents and group organisers to ensure timely settlement of invoices.
  • Support with receipt allocation, tracking outstanding balances and escalating unpaid cases where required.
  • Coordinate on refunds, commission queries and overpayments, ensuring records remain accurate.
  • Maintain accurate and up-to-date individual and group booking information in the student management system.
  • Monitor shared inboxes and manage individual and group booking queries professionally and efficiently.
  • Work closely with Sales, Partner Support, Accounts Receivable and schools to resolve booking, operational or payment issues.
  • Coordinate changes to group bookings, ensuring relevant teams are informed and documentation is updated accordingly.
  • Provide booking and payment updates to support regional forecasting, group planning and operational reporting.
  • Support continuous improvements to admissions and group booking processes to ensure efficiency, accuracy and a positive customer experience.

Requirements:

  • Experience in admissions, education administration, group bookings or international student recruitment.
  • Experience coordinating group travel, educational programmes or accommodation arrangements would be an advantage.
  • Confidence handling invoices, payments and basic credit control processes.
  • Strong communication skills in English.
  • High level of attention to detail and accuracy.
  • Confidence working with databases and finance systems.
  • Strong organisational skills and the ability to coordinate multiple bookings, deadlines and stakeholders simultaneously.
  • Ability to manage multiple priorities across different time zones.
  • A proactive, solution-focused approach and confidence following up firmly but professionally on outstanding payments and booking requirements.
  • A collaborative mindset and willingness to support both individual and group admissions as business needs evolve.
