ABOUT THE ROLE

As a GoHighLevel CRM Specialist at 321, you will build, manage, and optimize GoHighLevel environments while helping clients turn their CRM into a dependable engine for lead generation, sales, and customer retention. This is a full-time role that combines hands-on GoHighLevel administration with strategic planning to improve marketing automation, pipeline management, and client communications.

You will work directly with clients and internal teams to understand business needs, design workflows and funnels, establish CRM governance standards, and translate requirements into well-built GoHighLevel systems.

The ideal candidate has strong, hands-on GoHighLevel experience, including sub-account management, workflows, funnels, and integrations. Experience with Salesforce is a plus.

WHAT YOU'LL DO

GoHighLevel Administration and Optimization

  • Build, configure, and maintain GoHighLevel agency and sub-account environments, including custom fields, custom values, tags, pipelines, and opportunity stages.
  • Manage user onboarding, roles, permissions, and access controls across client sub-accounts.
  • Create and maintain snapshots to standardize and accelerate new client setups.
  • Configure calendars, booking widgets, forms, surveys, and appointment reminders.
  • Monitor account performance, troubleshoot issues, and identify opportunities for improvement.
  • Evaluate new GoHighLevel features and releases and recommend enhancements based on client needs.

Automation and Workflows

  • Design, build, and optimize GoHighLevel workflows, triggers, and conditional logic for lead nurturing, follow-up, and client communications.
  • Build automated email, SMS, voicemail, and multichannel sequences.
  • Configure lead routing, task assignments, internal notifications, and pipeline automations.
  • Set up and manage conversation AI, chat widgets, missed-call text-back, and reputation management tools.
  • Test, document, and maintain automations to ensure accuracy and reliability.

Funnels, Websites, and Campaigns

  • Build and optimize funnels, landing pages, websites, and forms within GoHighLevel.
  • Develop segmentation, personalization, and behavioral-trigger strategies.
  • Build and manage email and SMS campaigns, templates, and broadcasts.
  • Monitor campaign performance, deliverability, engagement, and conversions.
  • Maintain compliance with CAN-SPAM, TCPA, A2P 10DLC registration, GDPR, and other applicable marketing and data privacy requirements.

CRM Strategy and Governance

  • Develop CRM strategies that align GoHighLevel capabilities with each client's business goals.
  • Lead discovery sessions to understand workflows, challenges, reporting needs, and growth objectives.
  • Gather and document business, functional, and technical requirements.
  • Develop process maps, workflow documentation, standard operating procedures, and training materials.
  • Establish standards for naming conventions, tagging, pipelines, data entry, automation, and change management.
  • Identify implementation risks, dependencies, and opportunities.

Integrations and Data Management

  • Manage integrations between GoHighLevel and third-party applications using native integrations, webhooks, APIs, and middleware such as Zapier or Make.
  • Connect lead sources, ad platforms, payment processors, and websites to GoHighLevel.
  • Support data imports, exports, migrations, cleansing, mapping, and synchronization.
  • Maintain data quality through duplicate management, tagging standards, and routine audits.
  • Troubleshoot integration failures and coordinate with developers or vendors when needed.
  • Create reports and dashboards that provide actionable business insights.

Client Consulting and Support

  • Serve as a GoHighLevel subject matter expert and strategic advisor for assigned client accounts.
  • Recommend solutions based on GoHighLevel best practices and client business requirements.
  • Conduct client training sessions and create user documentation.
  • Provide ongoing platform support, troubleshooting, and strategic recommendations.
  • Help clients improve CRM adoption and operational efficiency.
  • Collaborate with client strategists, project managers, developers, and marketing teams across multiple accounts.

Salesforce Support

  • Support Salesforce configuration, automation, and reporting when needed.
  • Help clients connect GoHighLevel with Salesforce and other sales or marketing systems.
  • Apply consistent CRM governance and data management standards across GoHighLevel and Salesforce.
  • Assist with CRM evaluations and migration projects involving GoHighLevel and Salesforce.

WHAT YOU HAVE

  • Three or more years of hands-on GoHighLevel experience, including agency and sub-account administration.
  • Experience building GoHighLevel workflows, pipelines, funnels, forms, calendars, and campaigns.
  • Experience creating and managing snapshots for multi-client deployments.
  • Experience with email and SMS automation, including A2P 10DLC registration and deliverability best practices.
  • Experience developing CRM strategies, governance standards, and process documentation.
  • Experience gathering and documenting business, functional, and technical requirements.
  • Strong understanding of CRM architecture, data quality, and access management.
  • Experience with webhooks, APIs, Zapier, Make, or similar middleware and third-party integrations.
  • Experience with data migrations, mapping, cleansing, and duplicate management.
  • Understanding of email marketing, customer journeys, audience segmentation, and marketing compliance.
  • Strong analytical, troubleshooting, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple client accounts, projects, and priorities.
  • Detail-oriented approach with a passion for process improvement and system efficiency.

PREFERRED QUALIFICATIONS

  • HighLevel Certified Admin or other GoHighLevel certifications.
  • Experience administering or implementing Salesforce, including objects, permissions, Flows, reports, and dashboards.
  • Salesforce Administrator certification.
  • Experience with Salesforce Marketing Cloud, Sales Cloud, or Service Cloud.
  • Experience supporting CRM migrations between GoHighLevel, Salesforce, HubSpot, or other platforms.
  • Experience working in an agency, consulting, or multi-client environment.
  • Experience with conversation AI, chatbots, and reputation management tools.
  • Familiarity with HTML and CSS for email templates, funnels, and landing pages.

REPORTING STRUCTURE

This full-time position reports to the SVP of Strategy and works collaboratively with client strategists, project managers, designers, developers, and other team members across client accounts.


Compensation: $70,000+ based on experience
