About the Role:
We’re looking for a sharp, proactive, and highly organized Executive Assistant to work closely with the CEO and help keep both his day-to-day responsibilities and the business running smoothly.

This person will take ownership of the administrative details that allow the CEO to stay focused on clients, strategy, and growth. The ideal candidate will be comfortable working independently, anticipating what needs to happen next, and gradually taking more ownership of the CEO’s calendar, priorities, follow-ups, and administrative workflow.

This role is about more than simply managing a calendar. We’re looking for someone who can understand how the CEO works, read situations and people well, match his energy, and become a trusted partner who knows when to take action without being asked.

Key Responsibilities

  • Manage the CEO’s calendar, meetings, travel, and scheduling with increasing autonomy.
  • Track follow-ups, action items, and priorities to keep the CEO and team organized.
  • Prepare meeting materials, correspondence, and other documents as needed.
  • Support day-to-day administrative and operational tasks, including research, file organization, and scheduling.
  • Support business development by coordinating follow-ups, maintaining contacts, and preparing outreach materials.
  • Communicate with clients, prospects, and team members as needed.
  • Proactively anticipate needs and help the CEO stay focused on clients, strategy, and growth.

Requirements

  • 3+ years of experience supporting an executive, founder, or senior leader.
  • Strong English communication and organizational skills.
  • Highly proactive, detail-oriented, and comfortable working independently.
  • Strong judgment and ability to anticipate needs and prioritize tasks.
  • Comfortable handling confidential information.
  • Experience with Google Workspace, Asana, Zoom, and Slack.
  • Comfortable working in a remote, async-first environment.

Nice to Have

  • Experience in a marketing, creative, or agency environment.
  • Familiarity with nonprofits or the social impact space.
  • Experience with CRM or business development support.
  • Experience using Claude, Gemini, or similar AI tools.

  • 💰 Salary: $1,500 USD/month
  • 💼 Full-Time Position: Monday–Friday
  • 🕐 Schedule: 8:00 AM–5:00 PM PST
  • 🏠 100% Remote work environment
