About goCloudOffice®

goCloudOffice® is a modern, AI-driven IT consulting company. Founded in 2003 and based in Silicon Valley, we serve customers nationwide across the United States. Our customers are small businesses of 5 to 50 people, in industries that include biotechnology, law and professional services. They own their business applications, and we run their IT with senior engineering judgment and AI-augmented support that has been in daily production since summer 2024.

The engagement

Engagement: enterprise applications consulting for a life-sciences company in the San Francisco Bay Area that is preparing for a commercial product launch, across a phased program of about 18 months: implementation projects in phases, followed by post-project maintenance.

The program covers the customer's ERP (NetSuite), life-sciences commercial systems (Veeva), cloud platform (AWS), and the integrations and data that connect them.

The contracting structure is decided per phase by the customer and goCloudOffice®: the engagement may be contracted directly by the customer with goCloudOffice® as program manager, or through goCloudOffice®; providers should be prepared for either.

Whichever party contracts, the engagement is business to business: one master services agreement, a distinct statement of work (SOW) for each phase with deliverables, acceptance criteria and milestone payments, and a separate maintenance SOW on a monthly block with business-day response targets. Your business invoices the contracting party for the services it delivers.

Engagement contact: the goCloudOffice® account lead. The provider directs its own work and personnel.

The provider coordinates with the customer's finance, commercial, medical, quality and technology leads, and with its software vendors and implementation partners, on scope, testing and hand-offs.

Scope of services

Services are delivered in phases. Each phase has its own SOW, deliverables and acceptance criteria.

  • Phase 0 · Mobilize and assess. A current-state review of the application landscape, integrations and data flows; a launch-readiness gap register; a register that classifies each system for GxP, Sarbanes-Oxley and privacy relevance, confirmed with the customer's quality and finance owners; and the detailed plan for the next phase.
  • Phase 1 · Launch readiness. NetSuite commercial order-to-cash: customers and ship-to locations, items with lot tracking, pricing, orders, invoicing, cash application, returns and credits. EDI or data exchange with the third-party logistics provider (3PL) and trade partners, as the customer's distribution model requires. Revenue recognition and gross-to-net accrual processes as the customer's finance function defines them. Sarbanes-Oxley-ready NetSuite roles, segregation of duties and change management. The Veeva commercial systems the launch requires, for example Vault CRM for field users, Vault PromoMats for medical, legal and regulatory review, and healthcare-professional reference data. Single sign-on and automated user provisioning for each new application. The AWS foundation and the first integrations. Test plans, user acceptance testing, validation deliverables to the customer's validation plan where a system is GxP-relevant and the customer places them in scope, and the cutover plan. Transfer-of-value capture for the customer's federal Open Payments (Physician Payments Sunshine Act) and state transparency reporting: payments and other transfers of value to healthcare professionals and teaching hospitals captured at source across Vault CRM (calls, samples, meals, events and speaker programs), NetSuite accounts payable and expense, and the travel-and-expense system, and consolidated in the aggregate-spend platform the customer selects, with recipient master data (National Provider Identifier and state license for individuals; the CMS teaching hospital list for teaching hospitals) and the reconciliation and dispute support the customer's compliance function needs.
  • Phase 2 · Launch and hypercare. Cutover and go-live support; first orders, shipments and invoices; the first month-end close with product revenue and the first gross-to-net accrual cycle; CRM adoption support; integration monitoring and rapid fixes.
  • Phase 3 · Scale and optimize. A commercial data platform on AWS for trade, site-of-care or specialty-pharmacy, and CRM data, as the customer's channel design requires, with the privacy controls each data set requires; integration hardening; master data for customers, healthcare professionals and organizations, products and pricing; evidence for the Sarbanes-Oxley IT general controls; further Veeva capabilities as the customer adopts them; and automation, including AI-assisted workflows within the customer's AI policy.
  • Phase 4 · Maintenance. Post-project maintenance of the delivered systems: release management for NetSuite, Veeva and AWS (impact assessment, regression testing, and validation impact for GxP-relevant systems); ticket-driven changes and enhancements; user access administration to the customer's approvals, and preparation of the periodic access reviews for the customer's system owners to perform and sign; integration monitoring; coordination with the software vendors and implementation partners; and a monthly service report.
  • AI-assisted delivery. AI tools used as a daily part of the work, for configuration design, scripting, test generation, data mapping and documentation, with every output verified before it reaches a customer system.

The provider configures each system to the accounting, quality and compliance policies set by the customer's finance, quality and legal functions, which own those policy decisions. The customer's compliance function owns its transparency reporting, including which transfers of value are reportable and the reports it submits to CMS and the states; the provider designs and builds the capture and the data flows behind them.

Before any access, the customer's supplier terms flow down to the provider (a security questionnaire, background checks run by the provider on its own personnel, insurance, audit rights, Sarbanes-Oxley vendor controls, and qualification and training records for personnel who work on GxP-relevant systems (21 CFR 11.10(i))), and the work follows the customer's controls: NetSuite access through its change control, Veeva Vault work to its validation plan (21 CFR Part 11; GAMP 5), healthcare-professional and patient-support data handled as sensitive, and processing in US regions with approved AI tools only. Before any access to the customer's systems or information, the provider and each person it assigns sign the customer's confidentiality agreement and acknowledge the customer's insider-trading policy; the customer may designate them as covered persons subject to its trading blackout and pre-clearance rules, and these obligations continue after the engagement ends.

Services must meet the customer's security, access and confidentiality policies, its quality and change-control procedures for regulated systems, and the service levels in each SOW.

The provider uses its own equipment and business identity; the customer and goCloudOffice® grant only the system access the services require.

What your business brings (required qualifications)

Qualifications 2, 3 and 8 are evidenced by the lead consultant. Qualifications 4 to 7 and 11 may be met across the personnel your business proposes.

1. An independently established consulting business. Your business:

  • operates under its own business name, including with the customer;
  • regularly contracts with other businesses and advertises its services to the public;
  • holds the business licenses and registrations its work requires (for example, in its home city and, for on-site services, in the customer's city);
  • carries general liability insurance (USD 1M per occurrence, USD 2M aggregate), technology errors-and-omissions (professional liability) and cyber insurance at the limits the customer's supplier terms require, hired and non-owned auto insurance (USD 1M), and workers' compensation where the business has W-2 personnel;
  • provides its own equipment.

Preferred structure: A corporation, or an LLC taxed as an S-corporation, whose own W-2 personnel perform the services is preferred. Sole proprietorships and single-member LLCs are also considered.

2. Typically seven or more years of hands-on enterprise-applications experience across ERP, CRM and cloud platforms.

3. Commercial-launch experience in the biotech field: enterprise-systems delivery for at least one commercial product launch at a biotechnology or pharmaceutical company, with working knowledge of GxP expectations for computerized systems (including 21 CFR Part 11) and of Sarbanes-Oxley IT general controls.

4. Strong NetSuite delivery: order-to-cash, inventory with lot tracking, revenue recognition (Advanced Revenue Management), journal-entry integrations for gross-to-net accruals, roles and segregation of duties, and sandbox-based change management, with SuiteScript 2.x, SuiteFlow, SuiteQL and REST web services.

5. Strong Veeva commercial-systems delivery: Vault CRM or Veeva CRM, and Vault PromoMats or Vault MedComms, including administration, configuration, release management and integration with healthcare-professional reference data (Veeva OpenData or Veeva Network).

6. Hands-on AWS delivery: multi-account foundations (AWS Organizations or AWS Control Tower), identity federation (IAM Identity Center), security services (CloudTrail, Config, GuardDuty and Security Hub), and data and integration services (for example S3, Lambda, Glue, Step Functions and EventBridge), operated to the controls that regulated and confidential data requires.

7. Integration and data skills: an integration platform (for example Celigo, Boomi, MuleSoft or Workato) or AWS-native integration; EDI with logistics and trade partners; REST APIs; single sign-on and SCIM provisioning with the customer's identity provider; and master data for customers, products and pricing.

8. AI-assisted service delivery. Providers should demonstrate at least one year of AI-assisted service delivery in their practice (for example, AI-assisted configuration design, scripting, test generation or documentation). We look for:

  • Tools: any mainstream assistant, such as ChatGPT, Claude, Gemini or GitHub Copilot, or the AI features built into enterprise platforms.
  • A clear method for checking AI output: confirming answers against vendor documentation such as the NetSuite Help Center, Veeva Vault Help and AWS documentation; testing in a sandbox or a non-production environment before production; reading every line of a script before running it; human review and approval of any AI-drafted validation or controls document under the customer's quality system; and keeping customer data inside tools approved for it.

9. Phased delivery and clear communication: planning and delivering to SOW milestones, documented testing and change control, knowledge transfer, and concise written updates for customer leadership in finance, commercial, medical, quality and technology.

10. On-site service capability: able to deliver on-site services at the customer site in the San Francisco Bay Area within the availability windows set in each SOW (for example, for workshops, user acceptance testing and launch cutover).

11. Transparency reporting for a commercial launch: working familiarity with the federal Open Payments program (the Physician Payments Sunshine Act) and the state transparency and gift laws the customer's compliance function identifies: which payments and other transfers of value to covered recipients are reportable, the data elements CMS requires (including each individual recipient's National Provider Identifier and state license), and how the commercial and finance systems must capture them at source.   • A. Relevant certifications, such as NetSuite SuiteFoundation, NetSuite ERP Consultant, NetSuite Administrator or SuiteCloud Developer; Veeva certifications for Vault CRM, Vault PromoMats or the Vault platform; and AWS Certified Solutions Architect (Associate or Professional) or AWS Certified Security – Specialty.
  • B. Delivery for an emerging biotech's first commercial launch, or for more than one commercial launch.
  • C. Gross-to-net, government-pricing or trade-data experience (chargebacks, rebates, 340B, and distributor 852 and 867 data), or DSCSA serialization data exchange with a 3PL.
  • D. Computer system validation for GxP systems: risk-based validation under GAMP 5 and computer software assurance, and 21 CFR Part 11 controls.
  • E. A first-year Sarbanes-Oxley cycle for NetSuite: access reviews, change-management evidence and auditor requests.
  • F. Commercial data platforms and analytics on AWS (for example Redshift, Athena or Snowflake, with Tableau, Power BI or QuickSight), including specialty-pharmacy and patient-support data handled under the privacy rules that apply to it (for example HIPAA, the California CMIA or the CCPA).
  • G. More than one qualified person in your business who can perform the services, with a named lead, for continuity across NetSuite, Veeva and AWS.
  • H. A lead consultant with hands-on depth in at least two of NetSuite, Veeva and AWS.

Rate, scope and term

  • Budgeted rate: [to be confirmed by the principal]. Providers propose their own rates and commercial terms.
  • Phase SOWs: each phase is priced with fixed-price or milestone elements and milestone payments, with capped time-and-materials for discovery and change orders.
  • Maintenance SOW: a monthly block of retained hours at a fixed fee, with overage at the agreed rate, a defined support scope, business-day response targets and the provider's own escalation.
  • Initial scope: the phase plan, with indicative effort for each phase and for a maintenance month, is shared with shortlisted providers under a mutual non-disclosure agreement; the provider schedules its work within customer availability windows and the milestones in each SOW; scope may expand by SOW.
  • Delivery: remote, performed from within the United States (customer data and evidence are handled only in the United States), with on-site services at the customer site in the San Francisco Bay Area within scope; the provider schedules site visits with the customer within agreed availability windows.
  • Personnel: the provider may assign qualified personnel with the customer's approval and maintains continuity of a named lead.
  • Term: Initial term to [date]; renewable by written SOW. The master services agreement covers a program of about 18 months.

The qualification process is clear and quick:

1. A review of your response against the posted qualifications.
2. A 25-minute introductory qualification call about how your business runs.
3. A 100-minute technical qualification call with a commercialization-systems scenario, including transfer-of-value capture, and a practical AI work sample, using the AI assistant of your choice or one we provide.
4. For finalists, a conversation about the customer's program, under a mutual non-disclosure agreement.
5. Two references from comparable engagements, at least one of them a commercial launch.
6. A final decision by goCloudOffice®'s founder, followed by the customer's own supplier qualification wherever the customer contracts directly.
