ABOUT THE ROLE 

The Lead Business Applications Analyst – Estate Management leads delivery and continuous improvement of Welltower’s maintenance applications, including Yardi Facilities Manager (FM) and Yardi Maintenance IQ (MIQ). The role provides project-based leadership, directing and coordinating the work of Senior Business Applications Analysts and Business Applications Analysts to ensure successful delivery, without formal line management responsibility. Combining business analysis expertise with project leadership, project management, and negotiation skills, the Lead aligns stakeholders, manages competing priorities, and delivers standardized, scalable solutions in a high-demand environment aligned with Welltower’s business strategy. 

KEY RESPONSIBILITIES  

• Leads application workstreams within the wider program, owning scope, priorities, plans, and outcomes 

• Leads and coordinates project work across Senior Business Applications Analysts and Business Applications Analysts, agreeing priorities, work packages, and timelines and reviewing delivery quality 

• Owns project plans, coordinates project resources, and manages milestones, budgets, risks, issues, dependencies, and change control 

• Builds relationships with operators, senior leaders, internal teams, and partners to meet business goals 

• Leads workshops, captures business needs, and agrees requirements, processes, and delivery priorities 

• Negotiates scope, timelines, priorities, and solution trade-offs with operators, Yardi, and vendors 

• Leads standardized design of work orders, preventive maintenance, inspections, and unit turns 

• Applies working knowledge of Yardi FM and Yardi MIQ to guide solution design and deployment 

• Coordinates Yardi, consultants, IT, and support teams on configuration, integrations, and data readiness 

• Owns design approvals, documentation standards, governance, quality assurance, and data integrity 

• Leads UAT, defect prioritization, acceptance criteria, and business functional sign-off 

• Oversees operational readiness, training, SOPs, communications, and support with the AVP, Operations 

• Coordinates cutover, deployment, hypercare, and handover; resolves issues and drives adoption 

• Reports progress and decisions to senior leaders; escalates material risks and resourcing gaps 

• Manages cross-program dependencies, resolves blockers, and coordinates stakeholder decisions 

• Controls one-time and recurring costs against the business case or budget, supporting ROI 

• Champions best practices and continuous improvement of workflows and application performance

TRAVEL

MINIMUM REQUIREMENTS 

Skills / Specialized Knowledge: 

• Ability to provide project-based leadership and coordinate priorities and delivery across Senior Business Applications Analysts and Business Applications Analysts without formal line management responsibility 

• Strong project management skills: planning, resources, milestones, risks, issues, and agile practices 

• Skilled in negotiation, influence, conflict resolution, and stakeholder decision-making 

• Working knowledge of Yardi Facilities Manager (FM), Yardi Maintenance IQ (MIQ), and Direct Supply TELS 

• Business analysis and process design across work orders, PMs, inspections, and unit turns 

• Ability to lead concurrent workstreams and manage cross-program dependencies 

• Excellent stakeholder engagement, senior-level communications, and reporting skills 

• Effective documentation, quality assurance, problem-solving, and change management 

Experience: 

• At least 5 years in operations, facilities or estate-management systems, or technology implementation 

• Proven leadership of complex maintenance or enterprise application implementations 

• Experience leading and coordinating the work of business analysts across multiple project workstreams 

• Ownership of delivery plans, risks, testing, stakeholder decisions, and go-live readiness 

• Experience applying maintenance systems to process improvement and customer journeys 

• Experience negotiating delivery commitments with operators, stakeholders, and vendors 

• Project management and technical or business application support experience 

• Experience delivering system changes in a SOX environment is preferred 

Education: 

• Bachelor’s degree in accounting, finance, marketing, or a related field is preferred 

• Agile, Six Sigma, or PMP certification strongly preferred
