About the role

The Sourcing Specialist is responsible for identifying, attracting, qualifying, and onboarding freelance contributors to support AI data and annotation projects. This role plays a critical part in ensuring the business has access to a scalable, diverse, and project-ready workforce capable of meeting evolving client and operational demands.

Working closely with the Engagement Team, Project Managers, and Operations stakeholders, the Sourcing Specialist will build and maintain talent pipelines, manage candidate onboarding activities, and ensure newly sourced contributors’ transition smoothly into the active workforce community.

The ideal candidate will have experience in talent sourcing, recruitment operations, crowdsourcing, or freelancer management and be comfortable operating in a fast-paced, project-driven environment.

Responsibilities

Talent Sourcing & Pipeline Development

  • Develop and maintain qualified talent pipelines to support current and future project requirements.
  • Source freelance contributors across multiple channels, including job boards, social media platforms, freelancer marketplaces, referrals, and sourcing databases.
  • Build and maintain talent pipelines for a variety of AI data services, including annotation, transcription, evaluation, search relevance, content moderation, data collection, and linguistic projects.
  • Develop targeted sourcing strategies to support project-specific hiring requirements.
  • Identify and engage candidates with specialised skills, languages, demographics, or subject matter expertise.
  • Monitor sourcing performance and recommend new channels to improve workforce acquisition outcomes.
  • Support large-scale recruitment and workforce expansion initiatives.

Candidate Qualification & Assessment

  • Ensure candidates meet project requirements and quality standards before onboarding.
  • Conduct candidate screening and qualification activities.
  • Review applications, assess suitability, and verify eligibility requirements.
  • Schedule assessments, qualification tests, and screening activities.
  • Evaluate candidate skills and experience against project requirements.
  • Coordinate with Project Managers and Operational teams regarding qualification criteria.
  • Manage candidate progression through the sourcing and onboarding pipeline.
  • Ensure candidates receive a positive and professional experience throughout the recruitment process.

Onboarding & Workforce Preparation

  • Support the successful onboarding of new contributors into the workforce community.
  • Coordinate onboarding activities for newly approved contributors.
  • Prepare onboarding documentation, contracts, and project-related requirements.
  • Ensure all required compliance, documentation, and account creation activities are completed.
  • Guide contributors through onboarding platforms and project readiness processes.
  • Work closely with the Engagement Team & Project Management Team to ensure seamless handover following onboarding.
  • Maintain onboarding trackers and ensure workforce readiness targets are achieved.
  • Support onboarding for new projects, programme launches, and workforce ramp-ups.

Workforce Operations & Administration

  • Maintain accurate sourcing records and operational systems.
  • Manage candidate records and maintain data accuracy across sourcing platforms.
  • Administer and update Applicant Tracking Systems (ATS) and workforce databases.
  • Maintain vendor portals and workforce management platforms.
  • Process contracts, agreements, and documentation as required.
  • Produce regular sourcing and pipeline reports for stakeholders.
  • Ensure sourcing activities adhere to company policies, compliance requirements, and data protection standards.

Cross-Functional Collaboration

  • Partner closely with Engagement and Project teams to ensure workforce supply aligns with project demand.
  • Collaborate daily with the teams to understand contributor availability, workforce gaps, and retention trends.
  • Partner with Engagement Specialists & Project Managers to ensure newly onboarded contributors remain active and connected to the community.
  • Support reactivation initiatives by identifying opportunities to engage previous contributors before sourcing externally.
  • Work closely with Project Managers to understand upcoming workforce requirements and project timelines.
  • Provide workforce market insights, sourcing forecasts, and recruitment recommendations.
  • Participate in workforce planning discussions to ensure alignment between sourcing activity and business demand.

Qualifications

  • Bachelor's degree or equivalent professional experience.
  • Experience in recruitment, sourcing, talent acquisition, workforce operations, or crowdsourcing environments.
  • Experience sourcing candidates through multiple channels and platforms.
  • Strong organisational and administrative skills.
  • Excellent communication and relationship-building abilities.
  • Ability to manage multiple hiring priorities simultaneously.
  • Experience working with ATS, CRM, recruitment, or workforce management systems.
  • Strong attention to detail and data accuracy.
  • Ability to work independently while collaborating effectively across teams.

Preferred Qualifications

  • Experience within AI data services, crowdsourcing, data annotation, BPO, or technology-enabled workforce environments.
  • Experience sourcing freelance, contingent, contractor, or global remote workforces.
  • Experience supporting multilingual or global sourcing initiatives.
  • Knowledge of workforce planning and capacity forecasting.
  • Advanced reporting and analytical skills.
