Job description

The IT Asset Management Executive will be responsible for managing the complete lifecycle of IT assets, including procurement coordination, receipt, inventory, allocation, movement, maintenance, recovery and disposal. The role ensures that all hardware and software assets are accurately recorded, appropriately assigned and handled in accordance with company, client, contractual and information-security requirements.

Key Responsibilities

  • Maintain an accurate and up-to-date inventory of all IT assets.
  • Manage laptops, desktops, servers, monitors, printers, mobile devices, network equipment, storage devices, accessories and software licences.
  • Record asset details such as make, model, serial number, asset tag, configuration, warranty, location, custodian and status.
  • Coordinate the receipt, inspection, asset tagging and inventory entry of newly purchased assets.
  • Manage asset allocation, transfer, replacement, repair, return and decommissioning.
  • Issue assets to employees only after completing the required approval and acknowledgement process.
  • Maintain signed asset handover and return records.
  • Coordinate with HR, IT and reporting managers for asset allocation during onboarding.
  • Coordinate with HR and relevant departments for timely asset recovery during employee transfers and exits.
  • Conduct physical asset verification and periodic inventory audits.
  • Reconcile physical assets with the asset register and investigate discrepancies.
  • Track assets deployed at company offices, client sites, project locations and remote-working locations.
  • Coordinate with procurement, finance, vendors and OEMs for purchases, repairs, warranty claims and replacements.
  • Track warranty, AMC, lease and licence renewal dates.
  • Monitor assets under repair and ensure timely follow-up and closure.
  • Maintain records of damaged, lost, stolen, obsolete and non-functional assets.
  • Support the approved disposal or e-waste process for end-of-life IT assets.
  • Ensure that storage devices are securely erased or destroyed before disposal or reassignment.
  • Maintain software licence records and monitor allocation, utilisation and compliance.
  • Prepare periodic reports on inventory, allocation, asset ageing, warranty status, repair status and asset availability.
  • Update asset-related tickets, requests and approvals in the designated ITSM or asset-management system.
  • Assist with internal, client, statutory and information-security audits.
  • Recommend improvements to asset-management procedures, controls and documentation.

Required Qualifications

  • Bachelor’s degree or diploma in Information Technology, Computer Science, Electronics, Business Administration or a related discipline.
  • 2–5 years of experience in IT asset management, IT inventory management, desktop support or IT operations.
  • Experience managing the lifecycle of hardware and software assets.
  • Working knowledge of IT asset registers, inventory controls and reconciliation.
  • Basic understanding of laptop, desktop, server, network and peripheral hardware.
  • Familiarity with asset-management, ITSM, ERP or ticketing tools.
  • Proficiency in Microsoft Excel and reporting.
  • Good documentation, coordination and communication skills.

Preferred Qualifications

  • Knowledge of ITIL and IT Asset Management practices.
  • ITIL Foundation, ISO 27001 awareness or a relevant ITAM certification.
  • Experience handling assets deployed across multiple offices or client locations.
  • Familiarity with software licence compliance and e-waste disposal requirements.
  • Experience with tools such as ServiceNow, Zoho, ManageEngine, Jira Service Management or similar platforms.
