The Role

We're seeking a highly motivated U.S. Payroll Specialist, specializing in U.S. labor compliance and prevailing wage regulations. The U.S. Payroll Specialist is responsible for ensuring accurate and compliant payroll processing for projects governed by prevailing wage laws. This role focuses on certified payroll reporting, prevailing wage compliance, and ensuring adherence to U.S. Federal, State, and local labor regulations.

Key Responsibilities

Certified Payroll & Compliance

  • Review weekly certified payroll for employees on prevailing wage projects, verifying accuracy in wage determinations, fringe benefit allocations, and overtime calculations

  • Maintain up-to-date knowledge of U.S. federal (IRA), state, and local prevailing wage laws

  • Ensure accurate tracking and reporting of fringe benefits to meet prevailing wage requirements

  • Respond promptly to payroll discrepancies and employee inquiries regarding wages, deductions, and benefits

Certified Payroll Reporting

  • Verify compliance with reporting requirements, including worker classifications, hours worked, and applicable wage rates

  • Maintain organized and detailed records of all certified payroll submissions for audits and client requests

  • Support internal and external audits by preparing and providing required documentation and reports

Collaboration & Communication

  • Collaborate with compliance managers, project managers, and accounting teams to ensure accurate and timely payroll processing

  • Communicate effectively with contractors, subcontractors, and clients to resolve payroll or reporting-related issues

  • Participate in cross-departmental meetings to align payroll practices with project and compliance goals

Skills and Knowledge

  • Comprehensive knowledge of prevailing U.S. wage laws, certified payroll requirements, and labor regulations is a plus but not required

  • Proficiency in certified payroll systems (e.g., LCPtracker, eMars, or similar) is a plus but not required

  • Advanced skills in Microsoft Excel, including formulas, pivot tables, and data analysis

  • Strong attention to detail, organizational skills, and ability to manage multiple priorities

  • Strong command of both verbal and written communication in English

Minimum Qualifications

  • Bachelor’s degree in accounting, law, or related field (preferred)

  • 5–10+ years’ experience with U.S. payroll, preferably as it relates to labor compliance and prevailing wage regulations within the construction, staffing, or government contracting industries (a plus but not required)

  • Ability to work independently and meet deadlines in a fast-paced environment

  • Ability to work in U.S. hours (Eastern / Pacific Time)
