Contracts Administrator – AU Construction (Remote)

Work From Home | Full-Time | AU Hours | AU Experience Essential

OutsourcedIn is partnering with an Australian construction company to hire an experienced Contracts Administrator with a strong background in Australian construction projects.

This role is critical in managing contract documentation, tracking project financials, and ensuring accuracy across all administrative and reporting functions. The ideal candidate has strong experience in Australian construction contracts and advanced Excel skills.

Proven Australian construction experience is ESSENTIAL.

About the Role
You will be responsible for managing building contracts, variations, subcontractor agreements, and project financial tracking. You will work closely with Estimators, Project Managers, and Site Supervisors to ensure all documentation and reporting are accurate and compliant.

This role requires strong attention to detail, excellent organisation, and the ability to manage multiple projects simultaneously.

Key Responsibilities

Contracts & Documentation

  • Prepare, review, and manage building contracts, variations, and subcontractor agreements

  • Maintain accurate and up-to-date contract documentation

  • Ensure all documentation aligns with Australian construction standards

Cost Tracking & Financial Management

  • Track contract values, variations, and cost changes

  • Monitor progress claims and payments

  • Maintain cost tracking and financial reporting accuracy

Excel & Reporting

  • Maintain and update detailed Excel trackers for:

    • Project costs

    • Budgets vs actuals

    • Variations register

    • Cash flow tracking

  • Generate reports to support project and financial decision-making

Project Coordination

  • Coordinate with Estimators, Project Managers, and Site Supervisors

  • Monitor contract milestones and ensure deadlines are met

  • Support project delivery through accurate reporting and documentation control

Mandatory Requirements

  • Proven experience in Australian construction (ESSENTIAL)

  • 3–5+ years Contracts Administration experience

  • Strong understanding of:

    • Construction contracts (residential and/or commercial)

    • Variations, progress claims, and cost tracking

  • Advanced Excel skills (ESSENTIAL):

    • Pivot Tables

    • VLOOKUP / XLOOKUP

    • Financial tracking and reporting

  • Strong attention to detail and accuracy

  • Excellent written and verbal English communication

  • Ability to manage multiple projects

Highly Regarded

  • Experience working across multiple projects simultaneously

  • Strong understanding of Australian construction compliance and documentation standards

KPIs

  • Accuracy of contract and cost tracking

  • Timely processing of variations and claims

  • Quality of reporting and Excel management

  • Adherence to compliance and documentation standards
