JOB SUMMARY



At FinDec, the Retirement Plan Administrator plays a critical role in delivering accurate, compliant, and high-quality retirement plan administration services. This position supports our mission to provide reliable, people-forward service by combining strong technical expertise with collaborative workflows, technology, and continuous process improvement.



This role is responsible for the day-to-day administration of qualified retirement plans, including 401(k), Profit Sharing, Defined Benefit, and 403(b) plans, ensuring compliance with ERISA, IRS, and plan document provisions while contributing to operational excellence across teams.

 

 

DUTIES & ESSENTIAL JOB FUNCTIONS

  • Administer qualified retirement plans in accordance with plan documents, ERISA regulations, and IRS/DOL requirements.
  • Perform eligibility tracking, contribution calculations, payroll reconciliation, mandatory distributions and trust asset balancing.
  • Conduct and interpret compliance testing (ADP/ACP, 410(b), 401(a)(4), top-heavy, etc.), identify failures, and recommend corrective actions in alignment with IRS/DOL regulations.
  • Maintain working knowledge of ERISA, IRS, and DOL regulations and apply that knowledge to real-time plan administration decisions.
  • Serve as a knowledgeable resource to plan sponsors and advisors, providing guidance on plan operations and regulatory requirements.
  • Communicate clearly and proactively with clients regarding deadlines, data needs, and compliance obligations.
  • Coordinate and drive work across internal teams and external vendors (e.g., Congruent, EGPS), ensuring deliverables are accurate, timely, and aligned with plan requirements.
  • Ensure accurate plan data and actively manage workflow progression across FinDec platforms, identifying bottlenecks and driving work to completion.
  • Maintain strict data integrity across all systems; ensure Salesforce cases, tasks, and plan records accurately reflect current status and activity.
  • Use system reports and Excel to reconcile data, resolve discrepancies, and support compliance testing.
  • Maintain timely system updates and adapt to new platforms, software, and automation tools to support efficiency, scalability, and cross-team visibility.

SKILLS AND QUALIFICATIONS

  • College degree in Accounting, Finance, Mathematics, or related field (or equivalent experience).
  • Strong analytical, organizational, and problem-solving
  • Proficiency in Excel and Microsoft Office
  • Excellent customer service, written and verbal communication
  • Experience with retirement plan administration systems and workflow
  • Experience working in a collaborative, process-driven environment with clear accountability and workflow ownership.
  • Demonstrated experience managing multiple plans and deadlines simultaneously in a fast-paced environment.



REQUIRED

  • Minimum 2 years related experience or equivalent combination of education and
  • Qualified 401(k) Administrator Designation (QKA)

 

PREFERRED

  • Qualified 401(k) Consultant and/or Qualified Pension Administrator (QPA).

 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

Work is primarily sedentary in nature, no special demands are required


 


Compensation: $74k - $82k (Final compensation will be determined based on experience, qualifications, and overall fit for the position)
