Manager, Proposal Operations

ROLE OVERVIEW:

MGT is seeking a highly organized and proactive Manager, Proposal Operations to oversee proposal operations, scheduling, compliance coordination, document control, production support, and submission readiness across a fast-paced proposal environment.

This role serves as a central coordination point for proposal production and workflow management, ensuring proposal activities remain organized, compliant, and on schedule. The Manager, Proposal Operations will oversee editing and interim formatting functions, lead proposal scheduling activities, and provide supervisory support for proposal production resources, including the future SLC Production Full-Time Employee.

The ideal candidate is a strong organizer, effective communicator, and operational leader who thrives in deadline-driven environments and can successfully manage multiple priorities while supporting proposal teams across the organization.

WHAT YOU"LL DO:

  • Lead proposal scheduling, intake, prioritization, and resource coordination.
  • Manage proposal production workflows, including editing and interim formatting activities.
  • Provide day-to-day supervision and operational guidance for proposal production resources.
  • Coordinate proposal assignments based on deadlines, priorities, and team capacity.
  • Track proposal milestones, contributor deadlines, compliance requirements, and submission schedules.
  • Oversee compliance documentation, forms, attachments, and submission readiness activities.
  • Organize and maintain proposal files, document libraries, and records within SharePoint and Microsoft Teams.
  • Review RFPs and solicitations to identify production, submission, and compliance requirements.
  • Coordinate hardcopy production needs, including tabs, labels, printing, packaging, and shipping.
  • Support final proposal assembly, quality review, document preparation, and submission activities.
  • Maintain project trackers, schedules, status updates, and workflow records.
  • Collaborate with proposal managers, business development teams, operations leaders, and internal stakeholders to ensure successful proposal delivery.

  • Experience supporting workflow management, document control, compliance, or proposal operations.
  • Ability to identify and resolve issues while maintaining project momentum.
  • Strong problem-solving, prioritization, and project management capabilities.
  • Commitment to delivering high-quality work and customer-focused support.
  • Ability to handle confidential information with professionalism and discretion.

EDUCATION AND EXPERIENCE: 

  • Bachelor’s degree or equivalent combination of education and relevant experience.
  • Five (5) or more years of experience in proposal operations, proposal management, business development support, project coordination or related operational roles. 
  • Experience in proposal operations, proposal coordination, sales operations, project coordination, production support, or administrative operations.
  • Previous supervisory, team lead, or workflow management experience preferred.
  • Experience supporting RFPs, RFQs, compliance documentation, government forms, or proposal development activities preferred.
  • Experience working with document management systems and project tracking tools.

TECHNICAL SKILLS:

  • Advanced Microsoft Word proficiency.
  • Intermediate proficiency with:
  • Experience with Salesforce, SmartSuite, or similar workflow and project management systems preferred.
  • Ability to leverage AI-enabled tools to improve operational efficiency and proposal support processes.
