Fusion Growth Partners is hiring an experienced Real Estate Transaction Coordinator to support high-producing real estate professionals in the United States.
This is a remote position built around an Eastern Time Zone work schedule. Candidates must be available during assigned Eastern Time business hours and able to attend meetings, respond to clients, and complete daily work within that schedule.
This is not a general virtual assistant or administrative assistant role. Candidates must have direct experience managing residential real estate transactions from executed contract through closing.
The Transaction Coordinator will:
• Open and maintain transaction files.
• Review contracts, addenda, disclosures, and supporting documents for completeness.
• Track deadlines, contingencies, earnest money, inspections, financing, title, escrow, and closing dates.
• Monitor files for missing signatures, documents, approvals, and required information.
• Prepare and route documents for electronic signature.
• Communicate professionally with agents, lenders, title or escrow companies, cooperating agents, and other transaction parties.
• Update transaction systems, dashboards, notes, and client reports.
• Provide clear status updates and escalate risks before deadlines are missed.
• Complete daily reports and assigned tasks by required deadlines.
• Follow brokerage requirements, partner preferences, company procedures, and security standards.
• Protect confidential client information and login credentials.
• Participate in training, coaching, quality reviews, and team meetings.
• Support process improvements as the department grows.
This role does not include personal errands, general inbox management, social media, marketing, cold calling, lead generation, repair coordination, vendor management, negotiating contract terms, giving legal advice, or performing activities that require a real estate license.
Requirements
Required:
• At least two years of direct residential real estate transaction coordination experience.
• Experience managing transactions from executed contract through closing.
• Working knowledge of United States residential real estate processes.
• Experience reviewing contracts, disclosures, addenda, and transaction documents.
• Experience tracking deadlines, contingencies, signatures, deposits, inspections, financing, title, escrow, and closing requirements.
• Experience managing several active transactions at the same time.
• Experience communicating directly with real estate agents and transaction parties.
• Strong written and spoken English communication.
• Strong attention to detail, organization, judgment, and follow-through.
• Ability to identify problems and escalate them quickly.
• Ability to follow written procedures and client-specific instructions.
• Ability to work independently while remaining accountable to the team.
• Ability to accept feedback and correct errors.
• Ability to maintain confidentiality and follow information-security requirements.
• Availability to work an assigned Eastern Time Zone schedule.
• Reliable high-speed internet and a backup internet option.
• Dependable computer, webcam, microphone, headset, and professional workspace.
• Ability to use a company-approved password manager and multifactor authentication process.
• Ability to learn new systems quickly.
Preferred:
• Three or more years of transaction coordination experience.
• Experience supporting high-producing agents, teams, or brokerages.
• Experience managing 25 or more transactions within a 12-month period.
• Experience with listing coordination and contract-to-close services.
• Experience with Dotloop, SkySlope, DocuSign, TransactionDesk, Brokermint, MLS systems, CRMs, or similar platforms.
• Experience with Zoho, Microsoft 365, SharePoint, or Outlook.
• Experience preparing client-facing reports and auditing files for compliance.
• Experience training, mentoring, supervising, or quality-checking other transaction coordinators.
• Experience working with remote or international teams.
