Work Schedule: The role operates primarily in US Shift timings (6:30 PM - 3:30 AM IST) and requires regular collaboration with global stakeholders, certification providers, instructors, and cross-functional teams.

Role Overview:

We are seeking a detail-oriented and process-driven Senior Software Licensing Specialist to support our software licensing and renewals business. This role will partner closely with Sales, Consulting Delivery, and Software Implementation teams to manage software licensing quotes, maintenance renewals, and customer communications throughout the sales lifecycle.
The ideal candidate has experience supporting SaaS/software licensing renewals, preparing software quotes, coordinating with internal stakeholders, and delivering an exceptional customer experience. This individual will be the primary point of contact for software licensing renewals, ensuring timely execution, accurate quoting, and proactive communication with clients while maintaining a high level of operational excellence.

Key Responsibilities:
  • Manage the end-to-end software licensing and maintenance renewal lifecycle, ensuring timely, accurate, and customer-focused execution.
  • Prepare, review, and maintain software licensing quotes for new licenses, maintenance renewals, upgrades, and cross-grades using Salesforce, Jira Service Management, Atlassian Partner Portal, Excel, and vendor pricing.
  • Manage and prioritize software licensing requests and renewal opportunities, ensuring adherence to service levels and business priorities.
  • Research customer contracts, licensing entitlements, renewal history, and software requirements using Salesforce and vendor portals to ensure quote accuracy and licensing compliance.
  • Maintain customer renewal schedules and proactively monitor upcoming renewal opportunities, engaging customers to support timely contract renewals.
  • Process software licensing orders, maintenance renewals, and purchase confirmations while ensuring a seamless customer experience.
  • Serve as the primary point of contact for software licensing and renewal inquiries, providing timely support and managing customer expectations throughout the sales and renewal lifecycle.
  • Partner closely with Sales Account Executives, Professional Services, Consulting Delivery, Finance, Accounts Receivable, and Collections teams to support licensing opportunities and customer renewals.
  • Build and maintain strong relationships with customers, software vendors, and internal stakeholders to deliver an exceptional customer experience.
  • Identify and communicate software renewal, cross-sell, and upsell opportunities to the Sales team to support revenue growth.
  • Maintain accurate customer, contract, licensing, and renewal data in Salesforce and other business systems, ensuring data integrity.
  • Prepare and deliver renewal pipeline, operational status, and management reports while tracking renewal performance and reasons for lost business.
  • Contribute to process improvement initiatives by documenting, streamlining, and automating licensing and renewal workflows to improve operational efficiency.

Qualifications & skills:
  • Bachelor's degree in Business, Commerce, Information Technology, or a related discipline.
  • 5+ years of experience in Software Licensing, Software Renewals, Sales Operations, Customer Success, Contracts Administration, or Sales Support.
  • Minimum 4 years of experience in a corporate environment.
  • Experience supporting B2B SaaS software licensing and subscription renewals.
  • Strong customer relationship management and stakeholder engagement skills.
  • Experience preparing software licensing quotations and managing renewal pipelines.
  • Strong analytical, research, and problem-solving skills.
  • Excellent Microsoft Excel skills.
  • Experience using Salesforce CRM.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with global teams across multiple time zones.
  • Demonstrated curiosity and willingness to continuously learn software products and licensing programs.

Preferred Skills:
  • Experience with Salesforce automation or workflow configuration.
  • Experience in Sales Operations, Contracts Administration, or Software Licensing Renewals.
  • Experience with Atlassian products (Jira, Jira Service Management), AWS Marketplace, Splunk, or Agile/DevOps software.
  • Experience working with software vendors and channel partners.
  • Exposure to subscription-based SaaS business models.
