Junior Accounts and Finance Administrator

Location: Century City, Cape Town

About the Role

Crew Life at Sea is looking for a reliable, organised and detail-focused Junior Accounts and Finance Administrator to assist with the daily financial administration of our recruitment and maritime operations.

This is an excellent opportunity for a young accounting or finance professional who wants practical experience, responsibility and the opportunity to grow within a busy international business.

The successful candidate will assist with company expenses, crew payment records, invoicing, payment reconciliations, cross-checking financial information and communicating with clients regarding accounts and outstanding payments.

This role requires someone who enjoys working with numbers, follows processes carefully and is comfortable handling financial information across multiple companies and clients.

Key Responsibilities

  • Capture and maintain daily business expenses.
  • Assist with bookkeeping and general accounting administration.
  • Record and track payments made to crew members and service providers.
  • Maintain payment records for multiple companies and business divisions.
  • Cross-check crew onboard dates, contracts, payment periods and amounts due.
  • Verify invoices against supporting documents and internal records.
  • Prepare and send invoices to clients.
  • Follow up with clients regarding outstanding invoices and payment queries.
  • Reconcile payments received against invoices issued.
  • Identify payment shortages, duplicate payments, incorrect amounts or missing records.
  • Assist with bank reconciliations and payment allocations.
  • Maintain accurate spreadsheets, accounting reports and supporting documentation.
  • Organise invoices, receipts, statements, payment confirmations and financial records.
  • Communicate professionally with clients, suppliers, crew members and internal staff.
  • Assist management with monthly account checks and financial summaries.
  • Support the preparation of information for accountants, auditors and tax submissions.
  • Maintain confidentiality when working with employee, crew, banking and company information.
  • Assist with other finance and administrative duties when required.

Minimum Requirements

  • Diploma, certificate or degree in Accounting, Bookkeeping, Finance or Business Administration.
  • Recent graduates and junior applicants are encouraged to apply.
  • Basic understanding of bookkeeping, invoicing, expenses and reconciliations.
  • Strong Microsoft Excel or Google Sheets skills.
  • Good written and spoken English.
  • Strong attention to detail and accuracy.
  • Comfortable working with figures, spreadsheets and financial documents.
  • Able to manage multiple tasks and meet deadlines.
  • Honest, dependable and professional.
  • Willing to learn new accounting systems and company processes.

Advantageous Experience

Experience with any of the following will be beneficial:

  • QuickBooks or similar accounting software.
  • Payroll or contractor payment administration.
  • Bank reconciliations.
  • Accounts payable and accounts receivable.
  • International payments or foreign currency transactions.
  • Maritime, cruise ship, recruitment or hospitality industries.
  • Google Workspace, Smartsheet or cloud-based finance systems.
