Job description

This is a remote position.

Basic Function

The Junior Tax & Compliance Coordinator supports the Cost Segregation Tax team by assisting with the preparation, organization, and coordination of tax-related deliverables. This role focuses on executing assigned tasks accurately and efficiently while building foundational knowledge in tax compliance, cost segregation processes, and 3115 filings.

 

The Junior Coordinator plays a key support role in maintaining organized workflows, ensuring documentation completeness, and contributing to high-quality deliverables.

 

Position’s Intention

The intention of this role is to provide entry-level support in the preparation and coordination of tax compliance deliverables, including Form 3115 filings. The Junior Tax & Compliance Coordinator will assist with project tracking, documentation, and communication while developing technical skills and gaining exposure to tax compliance processes.

This role is designed to build technical knowledge, improve efficiency, and support the team in delivering timely and accurate client outcomes.

Essential Duties

Tax & Compliance Support

  • Assist with the preparation of Form 3115 and related tax documentation
  • Gather, organize, and upload client and CPA-provided documents
  • Perform basic review of documentation for completeness and accuracy
  • Assist with tracking project status and ensuring documentation is up to date
  • Help identify missing information and escalate as needed

 

Project Coordination

  • Monitor shared inboxes and respond or route inquiries appropriately
  • Track status of 3115 projects and assist with updates in project management systems (Zoho, portal, etc.)
  • Assist with scheduling meetings and coordinating communications with clients and internal teams
  • Maintain organized project files and ensure proper document storage

 

Data & Reporting Support

  • Run basic reports and exports from internal systems
  • Assist in tracking which projects are ready for completion vs. pending information
  • Support cleanup initiatives (e.g., identifying outdated or duplicate projects)
  • Help update project statuses and maintain data accuracy

 

Client & Team Communication

  • Provide status updates when requested by clients or internal stakeholders
  • Notify appropriate parties when deliverables are completed
  • Escalate urgent or time-sensitive matters to senior team members
  • Support follow-up on outstanding requests for information (RFIs)

 

Administrative & Process Support

  • Assist with documenting processes and identifying opportunities for improved efficiency
  • Support special projects and team initiatives as assigned
  • Collaborate with cross-functional teams, including tax, operations, and AR

Education/Certification:

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred; OR
  • 0–2 years of relevant experience in tax, accounting, or administrative/project support; OR
  • Equivalent combination of education and experience
     

Technical & Industry Skills:                                                                                                                                                                      

  • Basic understanding of accounting or tax concepts preferred
  • Exposure to tax forms or financial documentation is a plus
  • Interest in learning about cost segregation and Form 3115 processes
  • Ability to assist with data validation and document review
Language & Communication Skills: 
  • Outstanding verbal and written communication skills with the ability to interact effectively at all organizational levels
  • Ability to write reports and business correspondence
  • Ability to follow up effectively and communicate status updates
  • Ability to respond to inquiries and escalate issues appropriately
Reasoning & Analytical Skills:

  • Basic problem-solving and critical thinking abilities
  • Strong attention to detail with the ability to identify discrepancies
  • Ability to interpret instructions in written, oral, or schedule form
  • Ability to follow instructions and apply basic logic to tasks

Computer Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
  • Familiarity with or ability to learn CRM/project management tools (Zoho, portals, etc.)
  • Comfortable working with digital file systems and document management tools
  • Ability to learn and adapt to new tools and systems quickly
