We are seeking to appoint a Projects Coordinator for our Visual Design Studio. The job-holder will act as a collaborator, the primary link between the organization and our design partners, internal and external. This role is crucial for ensuring seamless communication, timely project execution, quality control, and the protection of company intellectual property throughout the collaboration lifecycle, from initial contact to final project launch and IP protection.

Key Responsibilities:

  • Serve as the primary point of contact for all communication with internal and external designers and brand strategists collaborating with the company, while maintaining strong professional relationships and ensuring NDAs are executed before any confidential information or company assets are shared.
  • Monitor and manage the progress of all design projects to ensure deliverables are completed in line with agreed scope, quality standards, and timelines, and handle all follow-ups to maintain project momentum.
  • Coordinate and consolidate feedback from internal teams and the Managing Director, ensuring it is clear, structured, and actionable before being shared with external design partners.
  • Liaise with internal departments to gather required information, ensure alignment of details, and verify accuracy with the internal design team before any external communication.
  • Track invoices and related documentation to ensure timely and accurate payments to external design partners in accordance with contractual terms.
  • Coordinate with the Legal Department upon final approval of brand design projects to initiate trade name registration and trademark protection processes. Manage end-to-end monthly payroll operations for head office and operational staff across restaurants, kitchens, outlets, and warehouses, ensuring accurate processing of salaries, overtime, public holiday pay, deductions, penalties, and final settlements.

Qualifications & Experience:

  • Bachelor’s degree in Accounting, Finance, Management, Human Resources, or a related field.
  • Proven experience in Brand management, project coordination, or a client-facing role, preferably within the creative, branding, or design industry.
  • Preferred qualification or relevant experience in a similar role.
  • Exceptional verbal and written communication skills with the ability to articulate complex feedback clearly and professionally.
  • Strong organizational skills and attention to detail, with a demonstrated ability to manage multiple projects and priorities simultaneously.
  • Familiarity with NDAs, basic contract terms, and intellectual property/trademark processes is a significant advantage.
  • A proactive team player who can effectively coordinate across internal departments and manage external relationships.
  • Strong coordination skills; this role requires close collaboration and coordination with graphic designers who are currently working remotely.
