Job description

Position: GoHighLevel Specialist

Number of hours: 32 hours/week
Schedule: UK Time Zone - 9AM - 2PM (Mon - Thursday only)


Key Responsibilities

GoHighLevel Automation & Workflow Management

  • Set up, manage, and optimize GoHighLevel workflows, pipelines, triggers, automations, and sequences.

  • Maintain documentation of all GHL automations, logic structures, and campaign flows.

  • Build and manage forms, surveys, landing pages, scheduling workflows, and automated communication journeys.

  • Ensure all GHL systems run smoothly, with consistent tagging, routing, and user flows.

Launch Operations & System Coordination

  • Update ClickUp with status changes, blockers, decisions, and workflow updates related to GHL processes.

  • Maintain product and operational documentation (automation logic, journey maps, checklists) inside ClickUp.

  • Support user testing by setting up GHL scheduling, email reminders, confirmation sequences, and feedback forms.

  • Compile data from GHL analytics to support dashboard reporting and performance metrics.

User Research & Funnel Coordination

  • Manage GHL-delivered user testing journeys: booking, reminders, follow-ups, and feedback collection.

  • Tag, segment, and organize user feedback and data inside ClickUp and GHL.

  • Prepare research templates (forms, feedback surveys, interview guides) to streamline testing.


Data, QA & Documentation Hygiene

  • Conduct weekly audits of:
    • GHL tags, triggers, broken automations

    • ClickUp tasks, stale items, missing fields

    • Forms, funnels, and user flows

  • Maintain β€œsingle source of truth” documentation on all workflow setups and decisions.

  • Test live workflows to validate data integrity and identify discrepancies or errors.

ClickUp Workflow Templates & Improvements

  • Learn the product team's ClickUp structure and maintain workflow templates.

  • Suggest improvements to automation processes and workflow efficiency.

  • Create and maintain templates for GHL sequences, onboarding flows, user testing journeys, and operational tasks.

Qualifications

Must-Haves

  • 23 years experience in remote operations, marketing automation, or admin support.

  • Strong, hands-on experience with GoHighLevel workflows, funnels, triggers, email sequences, forms, and tagging.

  • Familiarity with project management tools such as ClickUp, Asana, Notion, or Airtable.

  • High attention to detail in managing complex workflows and documentation.

  • Strong written English communication skills.

  • Comfortable using Google Workspace (Docs, Sheets, Forms, Calendar).

  • Systems thinker able to understand and structure workflow logic.

  • Comfortable in a fast-paced, early-stage environment with shifting priorities.

  • Able to work with UK business hours overlap (9am2pm).

  • Can start within 2 weeks.

Nice-to-Haves

  • Experience in SaaS, tech, or startup environments.

  • Exposure to user research coordination or customer success operations.

  • Familiarity with Miro, Typeform, or user testing tools.

  • Understanding of product development cycles and testing workflows.

Prior experience supporting product launches or structured release cycles.
