Job Requirements:

  • Min 2.5 years of proven experience as a Virtual Assistant or in a similar administrative role.
  • Strong understanding of time and attendance systems, employee onboarding processes, and payroll workflows. 
  • Familiarity with HRIS systems, time tracking tools, and payroll software. 
  • Familiarity with Shift Gear software is preferred but not mandatory.
  • Excellent data entry skills with high accuracy and attention to detail.

Core responsibilities:

  • Track and manage employee time and attendance records across client systems. Regularly audit timesheets for accuracy and compliance with company policies. 
  • Proactively identify and resolve discrepancies by coordinating with employees or managers. 
  • Prepare time and attendance reports for client review. 
  • Facilitate the onboarding process for new hires, including creating accounts in client systems and tools. 
  • Ensure all necessary documentation and forms are completed and submitted. 
  • Provide system access and guidance to new employees on client tools and platforms. 
  • Maintain accurate records of employee onboarding progress. Input payroll data into client systems accurately and in a timely manner. 
  • Collaborate with HR or managers to ensure payroll data aligns with approved attendance and leave records. 
  • Prepare payroll summaries for senior leadership review and final approval.
