Job Summary

We are seeking an experienced HOA Assistant Manager to support day-to-day community operations and assist the HOA Community Manager with administrative, resident, and compliance-related tasks. The ideal candidate has a solid understanding of HOA operations, strong communication skills, and experience working with homeowners, board members, and vendors in a U.S.-based HOA environment.

This role is critical in ensuring smooth community operations, timely issue resolution, and excellent homeowner service.

Key Responsibilities

  • HOA System Management: Use the HOA platform to manage HOA violations, collections, and compliance workflows
  • Violations & Collections: Track violations, send notices, maintain records, and communicate with homeowners regarding compliance and outstanding dues
  • Phone & Email Support: Respond to homeowner and board inquiries with professionalism and accuracy
  • Data Management: Maintain and update records, reports, and financial logs within the HOA system
  • Administrative Coordination: Handle scheduling, documentation, and internal coordination for smooth operations
  • Workflow Optimization: Identify opportunities to improve administrative efficiency and automate repetitive tasks
  • Report Generation: Prepare and share violation logs, financial summaries, and collection reports
  • Collaboration: Work closely with HOA managers, board members, and community stakeholders to ensure clear communication and policy adherence
  • Compliance & Record Keeping: Ensure proper documentation of HOA policies, procedures, and legal compliance


Qualifications and Skills

  • Minimum 2 years of experience in HOA or property management.
  • Familiarity with HOA operations, governing documents, and community standards.
  • Experience using HOA or property management software (Vantaca, CINC, AppFolio, Buildium, or similar)
  • Strong written and verbal communication skills in English.
  • Excellent organizational and multitasking abilities.
  • Customer-service oriented with strong conflict-resolution skills.
  • Ability to work independently in a remote environment.

    Additional Requirements

    • Must be currently residing in the Philippines or Latin America
    • Must have a stable internet connection and remote-ready workstation
