Job description

Position: Intake & Onboarding Specialist

Location: Remote (South Africa, working US Hours – 9 AM to 5 PM EST)

Type: Full-Time

Overview

We are seeking an experienced Intake & Onboarding Specialist with a strong background in client intake, sales, and customer engagement. This role is responsible for handling inbound inquiries, following up on website-generated leads, gathering client information, and guiding new clients through the onboarding process.

Responsibilities:

  • Answer incoming calls and respond to client inquiries professionally and efficiently.
  • Follow up with leads generated through the company website and other marketing channels.
  • Qualify potential clients and gather all necessary intake information.
  • Build rapport with prospective clients and effectively communicate company services.
  • Guide new clients through the onboarding process from initial contact to enrollment.
  • Maintain accurate records in the CRM and ensure all documentation is completed.
  • Coordinate with internal teams to ensure a smooth client onboarding experience.
  • Follow up with prospective clients to maximize conversions and engagement.
  • Provide exceptional customer service throughout the intake and onboarding journey.

Requirements

  • Proven experience in senior-level intake, onboarding, or customer-facing roles.
  • Strong phone presence and excellent communication skills.
  • Experience handling inbound leads and converting inquiries into clients.
  • Ability to build trust and establish strong client relationships.
  • Highly organized with strong attention to detail.
  • Comfortable managing multiple leads and onboarding processes simultaneously.
  • Proficient with CRM systems and standard business software.
  • Self-motivated, proactive, and results-driven.
