Job Opportunity: Regional Overseas Administrative Associate
Location: Vicenza. Italy
Start Date:  October 1, 2026
Schedule: Part-time (15 -20 hours/week)



Position Overview:
The Regional Overseas Administrative Associate will support the operational and programmatic functions of USA Girl Scouts Overseas (USAGSO). This role is responsible for assisting with various administrative, logistical, and coordination tasks, ensuring smooth and effective operations for Girl Scouts worldwide. The Regional Overseas Administrative Associate will provide support to staff and volunteers. This position requires a high level of organization, attention to detail, and the ability to manage multiple priorities while fostering a positive and efficient work environment.




Key Responsibilities:
 
  • Administrative Support: Provide general administrative support for the North Atlantic office. Manage office inventory by keeping inventory organized, accurately recording inventory supply, and identifying replenishment needs. Lead all mailings from the North Atlantic office by preparing and mailing packages to members and staff, including awards, rewards and incentives, product program materials, retail items, and other USAGSO materials. Coordinate and distribute USAGSO’s weekly staff newsletter. Provide support to the Finance and Administrative Associate, as needed, including managing petty cash.
 
  • Product Program Logistical Support: Support the logistics and operational needs of the annual Girl Scout Cookie Program, including but not limited to coordinating the distribution of cookies, arranging cookie transportation, creating, distributing, and following up cookie invoices, tracking and communicating Girl Experience rewards and prize drawings.
 
  • Membership Support: Provide as needed support to the North Atlantic Membership team.


 
Qualifications:
 
  • At least 2 years of experience in administrative support or project management, preferably in an international context.
  • Strong organizational and time-management skills with the ability to handle multiple tasks and deadlines.
  • Excellent written and verbal communication skills, with the ability to interact professionally with staff, volunteers, and external partners.
  • Ability to work independently and as part of a team in a remote, fast-paced environment.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Knowledge of or experience with the Girl Scouts organization is a plus.
  • A high level of cultural sensitivity and the ability to work with diverse, international teams.



Requirements:  
 
  • Must possess a valid Department of Defense (DoD) identification card granting access to U.S. military bases.  
  • Must have the ability to live and work in Italy for the duration of the position.  
  • Must possess a valid driver’s license.
  • Must be fluent in English, both written and verbal. Italian language skills a plus.  
  • Must be or become a registered Adult Girl Scout and successfully pass a criminal background check in accordance with USAGSO.  
  • Must conduct all work in accordance with the Girl Scout Mission, Promise, and Law, demonstrating integrity, respect, and commitment to the Girl Scout movement.  




 DOCPER/SOFA/Logistical Support Status

This position is not eligible for support under NATO Status of Forces Agreement (SOFA) supplemental agreement articles 72 or 73.
