Job description

The administrative assistant (AA) to the chief executive officer (CEO) provides high-quality administrative support to the CEO. Reporting directly to the CEO, the AA offers support in a one-on-one working relationship and is an active member of an entrepreneurial team. The ideal individual will be able to exercise sound judgment in various situations, with strong written and verbal communication skills, administrative and organizational skills, and a realistic balance among multiple priorities. Candidates located in the Phoenix, Arizona area preferred, but remote candidates will be considered.

You will:

  • Be primary in supporting the CEO with client communications.
  • Represent the company and the CEO with quality presence and relationships with stakeholders.
  • Provide excellent communication and time management skills with a proven ability to meet deadlines.
  • Manage sensitive client and employee matters with a high level of discretion, confidentiality, and sound judgment.
  • Be responsive to emails, texts, and phone calls
  • Sustain a daily calendar of meetings and events and organize complex schedules, resolving any scheduling issues
  • Provide travel support, including logistics and coordination with clients for the CEOs travel.
  • Help prepare Google spreadsheets, presentations, agendas, travel itineraries, meeting summary reports, and other documents supporting the organizations objectives.
  • Perform reference checks and write references for clients.
  • Be able to function well in a high-paced environment.
  • Support the CEOs time by reading, researching, collecting, and analyzing information as needed.
  • Perform additional duties as assigned

Required qualifications:

  • Bachelors degree required
  • 5+ years of related experience
  • Advanced proficiency in Google tools
  • Ability to communicate effectively and professionally
  • Flexible hours as dictated by the needs of business for projects and meetings
  • Excellent writing skills
