Virtual Concierge MedSpa Front Desk & Sales Specialist

We are seeking an exceptionally polished, articulate, and growth-minded Virtual Concierge MedSpa Front Desk & Sales Specialist to manage the digital front-end of our premium aesthetic practice. Operating as a luxury, cash-only/private-pay med spa, our brand represents exclusivity, elite guest service, and high-tier clinical outcomes.

This is not a passive data-entry role. This position is a dynamic hybrid of 60% Front Desk Operations and 40% Direct Sales Conversion.

You will be the primary voice and digital face of our clinic, handling everything from luxury inbound guest service to aggressive lead cultivation and social media engagement. Because you will be advising clients on high-value, out-of-pocket cosmetic treatments, prior hands-on experience working in a medical spa or cosmetic dermatology practice is an absolute, non-negotiable requirement.

Core Responsibilities:

Concierge Reception & Calendar Management (60% of Role)

• Elite Phone Management: Command inbound phone lines with an exceptionally professional, warm, and comforting presence, delivering a true luxury-hospitality experience on every interaction.
• Strategic Appointment Scheduling: Masterfully manage provider schedules to maximize clinic room utilization, balancing appointment lengths for injectors, aesthetic clinicians, and consultations.
• Social Media Community Concierge: Take complete ownership of the practice's Instagram Direct Messages (DMs), responding instantly to treatment inquiries, pricing questions, and booking requests with polished brand voice.
• Administrative Excellence: Seamlessly execute day-to-day front office workflows, manage digital guest profiles, and ensure proper communication between remote front-desk and on-site clinical teams.

Lead Conversion & Revenue Growth (40% of Role)

• High-Value Lead Cultivation: Educate prospective clients on elective aesthetic treatments to effectively overcome price resistance, building value to convert inbound inquiries into booked, revenue-generating appointments.
• Database Patient Reactivation: Proactively audit the patient ledger to identify, contact, and successfully win back lapsed patients who have not visited the practice in 3+ months.
• Cross-Promotion & Upselling: Actively promote new aesthetic packages, seasonal skincare services, and secondary treatment options during routine phone touchpoints to drive patient lifetime value.

Requirements

• MedSpa Domain Expertise: At leat 1 year of administrative, front desk, or sales experience directly within a Medical Spa, Plastic Surgery, or Cosmetic Dermatology clinic.
• Aesthetic Service Literacy: Fluid, confident working knowledge of advanced cosmetic treatments, specifically neurotoxins (Botox, Dysport), dermal fillers, and aesthetic laser therapies.
• Phonetic & Verbal Excellence: Flawless verbal and written English communication skills. Must possess a highly articulate phone presence with no heavy accent, tailored for an elite, premium American clientele.
• Sales-Driven Aptitude: Comfortable working in a performance-focused structure where conversion rates, text/call response times, and schedule utilization are measured.
• Remote Workspace: A completely silent, distraction-free home office setup equipped with high-speed internet and a professional headset, operating under a mandatory automated time-tracker.
