Fairway Management Company is seeking a qualified and detail-oriented Compliance Specialist to support the administration and monitoring of affordable housing compliance requirements across a multi-property portfolio. This position is responsible for the review and processing of compliance documentation, audit and inspection support, regulatory reporting, tracking of corrective actions, and maintenance of critical compliance records and systems.
The Compliance Specialist works closely with the Compliance Manager, site teams, Regional Managers, and other internal stakeholders to help ensure adherence to federal, state, investor, and company compliance requirements. This role requires strong organizational skills, sound judgment, a high degree of accuracy, and the ability to manage multiple priorities and deadlines.
The ideal candidate will have experience with affordable housing programs such as LIHTC, HUD, HOME, and Rural Development.

Essential Duties & Responsibilities: |
The essential functions of the position include, but are not limited to, the following:
- Review, finalize, and seal approved TICs in OneSite, ensuring all required documentation, approvals, and data entries are complete and accurate prior to final processing.
- Review and evaluate set-aside swaps and transfer requests to confirm program eligibility, unit designation compliance, and adherence to applicable regulatory and company requirements.
- Conduct detailed file reviews prior to submission to state agencies, investors, syndicators, or other third parties for audits, ensuring files are complete, internally consistent, and supported by required documentation.
- Coordinate and manage responses to file audits and agency reviews, including gathering documentation, tracking findings, facilitating corrections, and supporting timely resolution.
- Maintain and monitor inspection report tracking and IRS Form 8823 tracking, documenting findings, status updates, required follow-up actions, and resolution timelines for assigned properties.
- Maintain internal review timelines, workflow expectations, and quality control standards to support accurate and timely completion of compliance-related responsibilities.
- Identify, document, and track file deficiencies, communicate required corrections to site personnel, and follow through with property teams to ensure deficiencies are resolved within required timeframes.
- Maintain current income limits, rent limits, and utility allowances for assigned properties and ensure updates are reflected accurately in internal systems, reference tools, and compliance processes.
- Create, update, and maintain state-specific property information sheets to ensure key regulatory, operational, and reporting requirements are documented and readily accessible.
- Prepare new and update Affirmative Fair Housing Marketing Plans (AFHMPs) for properties, ensuring submissions are complete, current, and consistent with applicable regulatory requirements.
- Generate and distribute past due reports and other compliance monitoring reports to identify delinquent certifications, outstanding deficiencies, upcoming deadlines, and unresolved compliance issues.
- Troubleshoot OneSite issues related to compliance workflows, certifications, resident records, and reporting, and coordinate with internal teams or system support resources as needed to resolve issues.
- Prepare and assist with implementation of corrective action plans in partnership with Compliance Managers, site staff, and Regional Managers to address audit findings, inspection deficiencies, operational gaps, or recurring compliance concerns.
- Maintain and update centralized tracking systems for all properties, including but not limited to compliance calendars, audit logs, inspection logs, deficiency trackers, and reporting schedules.
- Manage the preparation, review, and submission of Tax Credit and HOME reports to syndicators, investors, and state agencies, ensuring completeness, accuracy, and adherence to submission deadlines.
- Manage the preparation, review, and submission of monthly and quarterly bond reporting, ensuring all reporting requirements are met in accordance with program guidelines and internal deadlines.
- Manage preparation and submission of monthly occupancy reports and Exhibit Z submissions, ensuring data integrity and timely completion.
- Review and manage screening cancellations in OneSite in accordance with company procedures and compliance requirements.
- Administer OneSite and LMS user management, including user setup, access changes, deactivation requests, and maintenance of appropriate system permissions.
- Prepare Resident Selection Criteria for new properties, ensuring documents align with program requirements, property-specific operations, and Fairway Management Company standards.
- Provide ongoing support to the Compliance Manager and corporate compliance team on special projects, regulatory changes, policy updates, training initiatives, and other compliance-related assignments as needed.
- Communicate professionally and effectively with site teams, Regional Managers, and other internal and external stakeholders regarding compliance matters, deadlines, required corrections, and reporting obligations.
- Exercise a high degree of confidentiality, discretion, and professionalism in handling resident information, regulatory documents, and sensitive operational matters.
- Other duties as assigned.
- Education: Bachelorβs degree in Business or related field, or equivalent experience.
- Experience: 3+ years of experience as a Corporate Affordable Housing Compliance Specialist
- Skills & Competencies:
- Comprehensive knowledge of HUD Section 8, LIHTC, portable vouchers, Rural Development and market-rate housing programs.
- COS, Tax Credit, BOS, or equivalent compliance certifications preferred.
- Proficiency in RealPage (OneSite) and Microsoft Office Suite.
- Strong organizational and time-management skills; ability to manage large, multi-state portfolios.
- Professional, respectful, and collaborative demeanor with strong communication skills.
- Ability to work independently and meet strict deadlines.
- Flexibility to work extended hours or weekends to meet priority deadlines.
- Ability to travel to assigned sites as needed.
