Guardians of Honor (GOH) is a small management consulting firm supporting the federal government since 1997 (www.gohnow.com). We are seeking Subject Matter Expert support from a diverse pool of experts in library and museum sciences. We are seeking an experienced federal grants management professional to support our arts and culture client.


GOH is recruiting in anticipation of potential future openings that are subject to final approval and funding. No guarantee of position availability can be made at this time; however, candidate identification and preliminary interviews are being conducted to support timely hiring should authorization be granted.


Position Overview

The Grants Management Specialist supports the full grant lifecycle, from application review through post-award monitoring, in compliance with applicable laws, 2 CFR 200, and IMLS procedural guidance. The role provides technical, analytical, and administrative support; inherently governmental functions remain with federal staff. The ideal candidate is collaborative, detail-oriented, and thrives in a high-tempo environment.


Key Responsibilities

  • Review applications for administrative completeness and eligibility; enter and validate data in eGMS; check required documentation including budgets, strategic plans, and attachments
  • Use OMS First Check and Final Check tools for eligibility, completeness, and budget analyses
  • Recommend peer reviewers, configure and set up panels in eGMS, prepare panel materials, and troubleshoot reviewer issues
  • Prepare funding recommendation spreadsheets, data visualizations, and pre-award budget summaries to support decision making
  • Review interim and final performance reports; document findings; identify compliance risks; and prepare draft recommendations for federal staff
  • Track grantee reporting compliance, conduct outreach on overdue submissions, and maintain a monitoring log
  • Prepare correspondence templates for grantee communications and process administrative change requests
  • Enter, update, and validate structured data in eGMS; identify anomalies; prepare datasets and reports for internal tracking
  • Log G2S reports, evaluations, and plans in tracking spreadsheets; update statuses in eGMS; and prepare materials for 508-compliant web posting
Requirements

  

  • Bachelor's degree required, preference for museum studies, library studies, arts, humanities, or sciences
  • 3–7 years of relevant experience in grants management or federal program administration
  • Minimum 2 years processing applications and monitoring awards for a federal agency under 2 CFR 200
  • Experience with Office of Library Services (OLS) programs, library operations, or MLS-level training preferred
  • Familiarity with Native American or Native Hawaiian programs, tribal eligibility, and governance a plus

Additional Qualifications

  • Detail-oriented and able to work independently; experienced working and being trained remotely
  • Ability to meet deadlines and process work accurately in a fast-paced, high-volume environment
  • Knowledge of federal grant making; ability to understand and apply IMLS policies, procedures, and regulations
  • Excellent written and verbal communication skills, including experience communicating about data-oriented issues
  • Highly proficient in Microsoft Office 365 (OneDrive, Excel, Teams) and Adobe Acrobat Pro
  • Strong data entry skills; comfortable working with complex proprietary relational databases and Adobe PDFs
  • eGMS experience: at least 6 months required at contract start
  • Windows-compatible computer with at least 30 Mbps internet and multiple monitors required

Reports to: Program Director


Work Environment: The work environment is a virtual/remote setting.
 

Physical demands: The physical demands of the job include sitting for extended periods, and occasional walking and standing.
 

Position type and expected hours of work: Full-time exempt position. Typical work hours are Monday-Friday, 40-60 hours per week. Some job activities may be required outside of typical workdays/hours. Overtime is expected during peak periods. 

Travel: 10% local and regional travel, with overnight stays necessary
 

Required education and experience: Bachelor’s Degree required
