Job Description:

We are seeking a proactive and detail-oriented Executive Assistant (Legal) to support senior executives within our client’s legal department. The ideal candidate will have strong organizational skills and a background or familiarity with legal operations, enabling them to manage multiple priorities efficiently while maintaining confidentiality and professionalism.

This role requires someone who thrives in a fast-paced, remote environment, demonstrates exceptional attention to detail, and has the ability to anticipate needs and manage tasks with minimal supervision.


Requirements

  • Provide high-level executive support, including comprehensive calendar management, scheduling meetings, and coordinating with internal and external stakeholders.

  • Handle email management and organization, ensuring timely responses, prioritization, and clear communication flow.

  • Support time-blocking and productivity optimization by structuring daily workflows to maximize executive focus and efficiency.

  • Prepare, edit, and organize legal documents, correspondence, and reports as needed.

  • Assist with follow-ups, reminders, and action item tracking to ensure accountability and progress on key initiatives.

  • Conduct light research or coordination on legal and administrative matters.

  • Maintain confidentiality of sensitive legal and organizational information at all times.

  • Serve as a communication bridge between the executive and internal/external partners, ensuring smooth operations and clear information flow.


Qualifications

  • Bachelor’s degree preferred; a background in law, legal studies, or related discipline is highly beneficial.

  • Proven experience (3+ years) as an Executive Assistant, ideally supporting legal professionals or within a legal services environment.

  • Strong skills in calendar and email management, with the ability to prioritize and multitask effectively.

  • Excellent written and verbal communication skills.

  • High proficiency in productivity and collaboration tools (Google Workspace, Microsoft Office Suite, and time-blocking tools such as Motion, Clockwise, or similar).

  • Strong sense of ownership, initiative, and attention to detail.

  • Ability to maintain professionalism and confidentiality in all interactions.

  • Demonstrated ability to manage competing priorities in a remote and fast-paced setting.
