Our corporate office is located in Orange County, CA. Employees in this position are permitted to reside anywhere in the United States, provided they have reliable access to a major airport within close proximity to support business travel needs. Work is performed remotely with periodic travel (<10%) within the US for training, meetings, and team events. This role may also occasionally require extended hours or schedule flexibility based on client and project demands.

The TriVista Project Coordinator partners with team members across the firm to support a wide range of client engagements, internal initiatives, and business development activities. 

This role handles coordinating key administrative and operational aspects of projects, including proposal support, project setup, document and data management, schedule coordination, agenda development, meeting and event logistics, communication support, and project closeout documentation. The Project Coordinator plays a key role in helping the team deliver high-quality work in an organized, timely, and professional manner. 


This position also supports business development efforts by coordinating proposals, presentations, client meeting logistics, follow-up actions, and other activities that contribute to relationship management. As a highly visible role, the Project Coordinator helps represent the firm’s professionalism and credibility through regular interaction with TriVista staff, clients, private equity firms, bankers, and company leadership.


In addition, the Project Coordinator assists with internal operational activities, including documenting processes, maintaining training materials, updating Excel and PowerPoint templates, preparing agendas, and supporting other business process improvement efforts. 


The ideal candidate is highly organized, proactive, detail-oriented, and service-minded, with the ability to support a fast-paced team across projects, business development, and internal operations. 


Responsibilities

  • Support project teams with project setup and kick-off, coordination, execution, and close-out activities
  • Coordinate schedules, meeting cadence, and logistics for project teams, client sessions, trainings, and internal team events
  • Manage Salesforce opportunities, projects, resource planner, and case studies
  • Coordinate and support the administrative and operational aspects of client engagements from initiation through closeout
  • Assist with proposal development, project setup, scheduling, document management, meeting coordination, and project completion documentation
  • Track deliverables, milestones, deadlines, and follow-up items to help keep engagements on schedule
  • Support business development efforts through assisting with the preparation of proposals, presentations, meeting logistics, and follow-up coordination
  • Perform other duties and responsibilities as required, assigned, or requested
Requirements

Skills and Qualifications

  • Minimum 3 years relevant experience in project coordination, team support, operations, or a similar role in a professional environment preferred
  • Excellent attention to detail and writing skills
  • Excellent written and verbal communication skills
  • Demonstrated ability to anticipate needs, stay ahead of deadlines, and proactively take next steps without requiring close oversight
  • Experience preparing agendas, presentations, status updates, and meeting materials
  • Self-motivated with high initiative and drive to complete assignments on time with exceptional quality
  • Accurate and detail-oriented
  • Highly organized and able to balance multiple priorities 

Education

  • 4-year degree, preferably with a focus in a project management discipline and/or a combination of education and relevant experience
  • Lean Six Sigma Green Belt or the ability to obtain once employed

The salary range for this position reflects our good-faith estimate of the minimum and maximum base pay for the role at the time of posting. The actual pay offered may vary based on factors such as the candidate’s skills, qualifications, experience, location, and market conditions. For example, a candidate with the minimum required experience and qualifications may receive an offer near the lower end of the range, while a candidate with extensive experience and specialized expertise may receive an offer near the top of the range. In addition to base salary, employees are eligible for performance bonuses and a comprehensive benefits package.

Salary Description
$80,000 - $100,249 + Bonus
