The Sales Traffic Coordinator serves as the central hub for organizing, prioritizing, and routing all incoming sales activity. This role ensures that every request—client briefs, quote inquiries, product research, artwork instructions, and production updates—is captured, documented, and directed to the appropriate team members.


The Coordinator helps the sales team operate efficiently by removing bottlenecks, maintaining visibility into workstreams, and ensuring clients receive timely, accurate updates. This role is critical in supporting a high-volume, fast-moving promotional products environment.


Responsibilities:


Sales Workflow Management

  • Intake, triage, and route all incoming sales requests, ensuring proper prioritization based on deadlines, revenue impact, and customer needs.
  • Maintain the sales queue or project management board, ensuring complete and accurate information.
  • Monitor progress on active jobs and proactively follow up with team members to prevent delays.

Sales Team Support

  • Prepare and organize client brief information for Business Development Reps and Account Managers.
  • Assist with quote creation by gathering product details, vendor pricing, and artwork requirements.
  • Support sample requests, proof approvals, and follow-through on production timelines.

Cross-Department Coordination

  • Serve as a communication bridge between sales, creative/art, production, and procurement teams.
  • Ensure all departments have the information needed to meet client expectations.
  • Consolidate updates from vendors and internal teams and communicate them back to sales.

Client Service & Communication Support

  • Draft or send routine client communications (order status updates, proof reminders, tracking info) on behalf of the sales team.
  • Coordinate meeting scheduling, follow-ups, and preparation of sales materials when requested.

Data & Systems Management

  • Enter and maintain accurate information within the CRM, order management system, or project management tools.
  • Track key milestones (quotes sent, proofs approved, orders placed) to support reporting and pipeline accuracy.
  • Maintain organized digital folders for assets, approvals, and client project documentation.

Continuous Improvement

  • Identify  workflow inefficiencies and recommend process enhancements.
  • Help develop standardized intake forms, templates, and checklists to support scalable growth.
Requirements

  

  • 2+ years of experience in sales coordination, project coordination, customer service, or comparable role; promotional products or marketing agency experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong task-management discipline.
  • Familiarity with CRM systems (e.g., HubSpot, Salesforce) and project management tools (e.g., Monday.com, Asana).
  • Ability to work cross-functionally and foster positive team relationships.

Compensation: The estimated base salary range for this position is between $55,000 - $75,000 annually. Please note that this pay range serves as a general guideline and reflects a broad spectrum of labor markets across the US. While it is uncommon for candidates to be hired at or near the top of the range, compensation decisions are influenced by various factors. At HALO, these include, but are not limited to, the scope and responsibilities of the role, the candidate's work experience, location, education and training, key skills, internal equity, external market data, and broader market and business considerations.
