Requirements:

  • Open and update digital client files in the case management system, ensuring timely and accurate data entry and maintaining records of all case-related communications.
  • Draft and process client documents (attorney-client fee agreements, welcome packets, GAL applications, disengagements) and assist with related administrative tasks (case separation/merging, deeds, filing statuses).
  • Manage client inquiries with high-quality customer service; track pending inquiries and update logs to reflect status in reporting systems.
  • Conduct conflict checks and support attorneys by following instructions, adjusting to changing priorities in a high-volume, time-sensitive workflow.

Job description

Singleton Schreiber, LLP is seeking an enthusiastic, detail-oriented, client-focused individual to work at a fast-paced, high-volume law firm. Our Case Support Specialist assists with our intake process by opening and updating client files within our case management system. They are a critical part of our Case Support team: responding to clients' inquiries intelligently and thoughtfully; and establishing a welcoming, professional relationship with the firm. Successful candidates will have excellent communication skills, an aptitude for new systems and problem solving, and superb attention to detail.

This is a hybrid position based in our San Diego office.

SALARY: $25.00- $27.00 per hour

Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualifications for the role.

JOB DUTIES:

  • Opening and updating digital client files from internal departments and attorney referral services using our case management systems.

  • Drafting and processing client documents including but not limited to attorney- client fee agreements, welcome packets, GAL applications, and disengagements.

  • Ensuring large amounts of data are entered timely and accurately in the appropriate systems.

  • Keeping track and following up with pending client inquiries in a timely manner with top-tier customer service.

  • Maintaining accurate records of all case-related communications and contact information.

  • Updating logs and reporting systems to reflect the status of all clients.

  • Assisting attorneys with administrative tasks such as separating and merging cases, obtaining property deeds, and updating filing statuses for clients.

  • Following instructions from supervising attorneys and adjusting to changing priorities while overseeing daily responsibilities.

  • Running conflict checks.

  • Experience with MS Office and Adobe is required.

  • Experience with CaseManagerPro, FileVine, or SmartAdvocate preferred.

  • Candidates must possess a high school diploma.

  • A successful candidate will be enthusiastic, responsive, detail-oriented, organized, have strong judgement, analytical, interpersonal, communication, and written skills.

  • Candidates should be familiar with the ethical and confidentiality requirements of working in a law firm and prior experience in the legal field is helpful.

  • This position requires the ability to work independently, and in a team setting, manage high volume and time-sensitive workflow
