Overview:
The Program Specialist supports efficient regional and statewide program operations by managing logistics, administrative processes, and data systems. The role coordinates trainings, member meetings, site visits, and legislative events while assisting with recruitment and onboarding of new AmeriCorps members. Through clear communication and strong organizational skills, the Program Specialist helps ensure smooth program implementation and team effectiveness.
Responsibilities:
Training Logistics and Administration
- Support the planning, coordination, and execution of inclusive regional and statewide training sessions and member meetings. Schedule venues and catering, organize and/or prepare handouts or materials, and arrange travel logistics or hotel accommodations.
- Support logistical needs on the day of training, either in-person or virtual (at the direction of supervisor).
- Monitor completion of member’s required training sessions and provide regular status updates.
Program Administration Support
- Coordinate site visits and legislative requests, including but not limited to communication, scheduling, materials, and attendee support.
- Manage regional team calendar and resources.
- Support and manage program data requests.
- Engage in site partner technical support, including but not limited to site agreement sharing and follow up, and other forms of technical support.
- Provide additional support as needed to meet the goals of the team, such as research and creation of resources and spreadsheets.
Member Recruitment and Onboarding
- Support the member recruitment process, working collaboratively with the centralized Talent Acquisition function.
- Support for member onboarding follow up.

Qualifications:
Minimum Education
- Associate’s degree or equivalent experience
Minimum Experience
- Minimum two years administrative assistance experience, or equivalent combination of education and experience.
- Ability to focus while working on repetitive tasks. Attention to detail and commitment to accuracy.
- Demonstrated success of working in a collaborative, team environment.
- Familiarity with MS Office Suite and general comfort with web-based platforms.
- Ability to work independently and adapt to changing circumstances; a self-starter with effective time-management skills.
- Able to display high levels of customer service, responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to the organization.
