Summary
The Sales Operations Specialist plays a critical role in supporting our global sales team. This individual will be instrumental in ensuring the efficiency and effectiveness of our sales processes, managing our CRM system, providing insightful reporting, and driving data integrity. As a key member of the sales organization, you will be a primary administrator for our new CRM implementation and champion its adoption and utilization by the sales team. This role requires a proactive individual with strong analytical, technical, and communication skills, and a passion for enabling sales success.
Responsibilities:
Sales Process Optimization:
Assist the sales team in understanding and efficiently completing internal administrative processes related to the sales cycle (e.g., proposal generation, contract management, order processing).
Identify opportunities to streamline sales processes and improve overall efficiency.
Develop and maintain documentation for sales processes and CRM usage.
CRM Administration:
Serve as a primary administrator for the company's CRM system HubSpot.
Help lead and support the implementation of a new CRM system, including data migration, configuration, and user training.
Manage user access, roles, profiles, security settings, rules, workflows, and other CRM configurations.
Provide ongoing technical support and troubleshooting for CRM users.
Sales Reporting & Analytics:
Develop and generate regular and ad-hoc reports and dashboards on key sales activity metrics (e.g., pipeline, forecast accuracy, sales cycle length, win rates).
Analyze sales data to identify trends, insights, and areas for improvement.
Present findings and recommendations to sales leadership.
Data Management & Compliance:
Establish and maintain data quality standards within the CRM and other sales-related databases.
Conduct regular audits of sales data to ensure accuracy, completeness, and compliance with internal policies.
Develop and implement data cleansing and maintenance procedures.
Sales Team Support:
Act as a primary point of contact for the sales team regarding CRM usage, sales processes, and reporting needs.
Assist with the onboarding of new sales team members regarding sales operations tools and processes.
Work closely with sales leadership, marketing, finance, and other departments to ensure alignment and effective communication.
Participate in cross-functional projects related to sales enablement and operational improvements.
Qualifications
Bachelor’s degree in Business Administration, Sales, Marketing, Information Technology, or a related field.
3+ years of experience in a Sales Operations role, preferably within a professional services environment.
Proven experience administering and supporting HubSpot CRM system. Experience with CRM implementation projects is highly desirable.
Strong analytical and problem-solving skills with the ability to interpret data and generate actionable insights.
Excellent organizational skills and attention to detail
Proficiency in reporting and data visualization tools (e.g., Excel, CRM reporting, Tableau, Power BI).
Strong communication (written and verbal) and interpersonal skills with the ability to effectively interact with sales team members and leadership.
Ability to work independently and manage multiple priorities in a fast-paced environment.
A proactive and solutions-oriented mindset.
The annual base compensation range for this role will $90,000-100,000 and will be dependent upon the individual's location, skills, experience and qualifications. This position will also be eligible for a discretionary bonus program.
