Job description

Overview:

The Deposit Documentation Specialist performs a wide variety of duties, pertaining to new and updated deposit accounts including but not limited to checking, savings, (COD) Certificate of Deposits, (IRA) Individual Trust Accounts and (HSA) Health Savings Accounts, styling’s, verifications and maintenance.  Functions require knowledge of banking regulations, IRA and HSA regulations, compliance, and policy specifications.  This position supports daily interaction with branch personnel via phone and email communications.          

What You’ll Do:
  • Receive and service customer phone calls and emails from bank representatives
  • Provide efficient, accurate, and high-quality service while maintaining good customer relations both internally and externally
  • Support bank locations with proper styling of new and updated deposit accounts to include (IRA) Individual Retirement Accounts, and (HSA) Health Savings Accounts
  • Verify deposit account documentation (DDA, HSA, SAV, IRA, COD) received from banks are compliant by utilizing state documentation manuals, bank’s CIP policy, federal regulated account forms, and bank policies
  • Possess the ability to review and determine authorities from entity agreements and supporting documents including but not limited to: Letters Testamentary, POA, Trusts, Business Agreements, IRA and HSA Plan Applications, and etc.    
  • Verify deposit accounts system specifications are defined by the proper account product selected
  • Generate and process deposit account corrections, as needed, listing specific details required to make deposit documentation compliant with bank policies and procedures
  • Responsible for processing account maintenance and verifications for new and updating deposit accounts
  • Provide assistance with on-the-job training 
  • Cross-train in all functions for Deposit Documentation Department
  • May cross-train with all functions for Deposit Account Maintenance Department 
  • Serve as a back-up to Deposit Documentation staff and may also back-up Deposit Account Maintenance staff
  • Assist with maintaining and implementing departmental procedures and policies
  • Review departmental procedures and productivity and offer suggestions for enhancements
  • Responsible for assisting with offsite/onsite storage: destruction, sending and receiving of stored records
  • Assist with merger and acquisition process of new banks as it relates to Deposit Operations
Requirements For Success:
  • 2 years’ College Degree preferred or combination of education and/or work related experience
  • 1-2 years’ experience as a CSR or in a related field preferred
  • Good understanding of bank operations functions, policies, procedures, state / federal laws, and IRA and HSA regulations as related to job role 
  • Possess the ability to understand computer functions and navigate web based programs
  • Proficient in Microsoft Office programs (Outlook, Excel, Word) and general office equipment
  • Possess excellent interpersonal and customer service skills and the ability to function in an office environment with minimal personal interaction
  • The ability to converse clearly and concisely with verbal and written communications 
  • Must be detail-oriented and have the ability to focus for repetitive tasks 
  • Possess the ability to complete verbal task instructions, follow written procedures, and adhere to daily task deadlines
  • Possess a team spirit, willing to assist others and cross train on all functions within the department
  • Ability to work in a time sensitive environment with the ability to manage multiple tasks and meet strict deadlines
Conditions of Employment:
  • Must be able to pass a criminal background & credit check
  • This is a full-time, non-remote position 
  • The ability to work flexible hours, overtime and weekends as required

Pay Range: USD $32,146.00 - USD $45,185.00 /Yr.
