Job description

  • Location: Remote / Virtual
  • Job Type: Full-Time
  • Salary Range: $1,000 - $1,300/month
  • Schedule: Monday - Friday 9:00 am to 5:00 pm PST.

The Senior Operations Coordinator plays a key role in maintaining operational accuracy and ensuring seamless coordination between scheduling, billing, payroll preparation, and client communication.

This is a hands-on role for someone who thrives in a fast-paced environment, can confidently communicate with clients, and takes ownership of keeping systems accurate and organized.

Responsibilities:

  • Manage daily job scheduling within LMN, making real-time adjustments as field conditions change
  • Maintain accurate records in HubSpot, LMN, and QuickBooks, including client notes and seasonal service reminders
  • Answer inbound client calls and respond to emails regarding service inquiries and scheduling requests
  • Coordinate client outreach for upsells or service opportunities identified by field teams
  • Review and audit crew timesheets to verify job notes, materials used, hours worked, and purchases
  • Prepare bi-weekly payroll reports in Google Sheets formatted for ADP upload and track overtime hours
  • Maintain and update operational records and crew notes within internal systems
  • Identify process gaps or operational issues and proactively resolve them

Requirements

  • Professional written communication skills
  • Strong attention to detail and accuracy
  • Systems-oriented mindset with the ability to understand operational workflows
  • Experience using QuickBooks Online
  • Proficiency in Google Workspace
  • Experience with HubSpot or another CRM platform
  • Background in home services, field services, or operations-heavy industries
  • Experience using LMN or Aspire
  • Landscaping or trade service industry experience
  • Experience building or documenting Standard Operating Procedures (SOPs)
  • Familiarity with ADP or similar payroll systems
