Ameresco currently has a new opportunity for a Project Administrator in Fredericton, NB at a Federal Government project site.  Although this role is primarily site-based, and may support more than one project, an eventual hybrid arrangement may be implemented if/when the project(s) allows.

Responsibilities

  • Provide comprehensive support to Ameresco Project Teams with monthly invoicing, scheduling, forecasting, and other project administration and financial functions.
  • Monitor and analyze project costs against approved schedules and budgets, identifying variances and supporting corrective actions as required.
  • Assist Project Teams with the development, maintenance, and updating of project financial plans and schedules throughout the project lifecycle.
  • Prepare and enter purchase orders at the request of Project Managers in accordance with company procedures.
  • Process and maintain Federal Government security documentation, including organization and individual based security requirements.
  • Identify, solicit, and coordinate contractors, vendors, and suppliers, and support the formal prequalification process to ensure capability for specific project scopes.
  • Support the preparation of tender and bid documents, including use of National Master Specification (NMS) packages where applicable.
  • Act as a point of contact to provide ongoing communication and coordination with Ameresco customers and subcontractors to support effective construction-phase execution.
  • Attend construction meetings as required and prepare and distribute meeting minutes.
  • Support inventory management and tracking of project materials.
  • Assist Project Engineers and Project Managers with construction management, commissioning activities, project close-out, and preparation of Operations & Maintenance (O&M) Manuals.
  • Provide general office and administrative support to the project and operations teams.
  • Manage electronic documents on corporate servers and project file-sharing platforms, ensuring accurate version control and record retention.
  • Perform other related duties as assigned to support successful project delivery.

Minimum Qualifications:

  • Diploma, certification, or demonstrated experience in Construction Management, Project Management, Business Administration, or an equivalent combination of education and experience.
  • Legally entitled to work in Canada without the need for employer sponsorship.
  • Eligibility and willingness to obtain Federal Reliability Status security clearance as a condition of employment.
  • Valid Driver’s License in good standing.

Additional Qualifications:

  • Highly organized, with demonstrated ability to gather, validate, analyze, and interpret quantitative data accurately and efficiently.
  • Advanced proficiency in Microsoft Office, particularly Excel and Word.
  • Experience with construction management software, such as Procore, is an asset.
  • Strong verbal and written communication skills, with the ability to communicate technical and non-technical information clearly and professionally.
  • Strong interpersonal and stakeholder coordination skills, with the ability to work effectively with internal teams, customers, and subcontractors.
  • Proven organizational and time management skills, with the ability to manage multiple priorities and competing deadlines.
  • Ability to work independently as well as collaboratively within a regionalized or distributed team environment.
  • Demonstrated flexibility and ability to adapt to changing project priorities and environments.
  • Fundamental understanding of project budgeting, cost control, scheduling, and billing practices within a construction or project delivery environment.
  • Ability to deliver work products with a high degree of accuracy, efficiency, and attention to detail.
  • Training or experience related to safety, quality, and environmental management systems, such as ISO-based programs, is considered an asset.
  • Prior experience supporting Energy Service Performance Contracts (ESPCs) is preferred.
