Administrative Assistant – Ballard Center for Social Impact
Join the Ballard Center for Social Impact as an Administrative Assistant, where you'll play a vital supporting role in our mission to develop the faith and skills to solve social problems through mentored student leadership. This detail-oriented position provides essential administrative and employment support under the direction of the Operations Manager, ensuring smooth daily operations and compliance across student employment processes. You'll work primarily with Workday systems to manage student hiring, onboarding, and employment transactions while maintaining organized records and supporting operational efficiency. This half-time, primarily remote position is perfect for someone who values precision, enjoys process-oriented work, and wants to contribute to meaningful social impact initiatives. This is a remote, half-time, non-exempt position with occasional on-site support as needed.
What you’ll do in this position:
Process student hiring, onboarding, and termination transactions in Workday; post job requisitions and support recruitment logistics
Track and maintain I-9 verification compliance and submit/monitor Workday help cases for payroll adjustments and corrections
Maintain seat assignments, costing allocations, employment records, and run routine and customized Workday reports
Manage internal administrative and HR-related requests while maintaining organized personnel and compliance documentation
Support routine payroll reconciliation processes and provide administrative support for adjunct hiring as directed
Document and refine administrative workflows, maintain tracking systems, and prepare data summaries and reports
Coordinate semester scheduling logistics for GCI Minor courses
Provide backup administrative support for core operational functions and special projects as assigned
What qualifies you for this role:
Required
A firm commitment to the mission of BYU
Associate's degree and 2 years of experience in a professional office environment, or equivalent combination of education and experience
Strong organizational skills with exceptional attention to detail
Proven ability to handle confidential information appropriately and with discretion
Proficiency in Microsoft Office suite including Excel, Word, Outlook, and Teams
Strong communication and customer service skills
Ability to work independently and collaboratively in a remote environment
Process-oriented mindset with ability to follow established procedures accurately
Preferred
Bachelor's degree plus 2 years of experience
Experience supporting employment or administrative processes
Experience with Workday or comparable Human Resource Information Systems and employment compliance requirements
Experience in a university or higher education setting
Understanding of payroll processing and reconciliation
Experience with data reporting and tracking systems
Knowledge of higher education administrative processes
Ability to create and maintain procedural documentation
Experience supporting faculty or adjunct hiring processes
