Roles & Responsibilities

  • Highly autonomous with the ability to operate at the CEO level, translating priorities into actionable tasks and ensuring execution without constant involvement.
  • Proven experience in process design, optimization, and building scalable internal processes; ability to document and drive adoption across departments.
  • Proficient with internal systems and tools (CRM, HR tools, task tracking systems); strong data governance, consistency, transparency, and user adoption.
  • Analytical mindset with ability to support OKR tracking and basic operational metrics; capable of contributing to SOC2 readiness as part of broader operations.

Job description

Role Overview:

We are looking for a highly autonomous Executive Assistant to work directly with the CEO and act as a force multiplier across company operations and execution, while also providing selective personal support.

This role is not about traditional assistance - it is about strengthening the company’s operational system.

You will operate at the intersection of operations, systems, and execution, helping bring structure, clarity, and accountability across teams. Your primary focus will be on building and optimizing processes, aligning departments, and ensuring execution, while supporting the CEO in maintaining focus on strategic priorities.

Personal support tasks will be part of the role but secondary to operational impact.

Key Responsibilities:

  1. Process Building & Optimization (Core Focus)

  • Design, implement, and improve internal processes across departments;

  • Ensure processes are documented, scalable, and consistently followed;

  • Drive adoption of processes across teams.

2. Systems & Tools Management

  • Own and optimize internal systems (CRM, HR tools, task tracking systems);

  • Ensure data consistency, transparency, and usability across tools;

  • Improve how teams use systems to increase efficiency and visibility.

3. Knowledge Base & Documentation

  • Build and maintain a structured internal knowledge base;

  • Ensure documentation is up-to-date, accessible, and actually used;

  • Standardize how knowledge is created, stored, and shared across the company.

4. Cross-Team Alignment & Execution

  • Ensure alignment across departments on priorities, timelines, and deliverables;

  • Track execution of key initiatives and ensure accountability;

  • Identify risks, misalignment, or delays and proactively resolve them.

5. Operational Analytics & OKR Support (Secondary)

  • Support implementation and maintenance of OKR structure;

  • Track key operational metrics and provide basic analytical insights;

  • Assist in preparing the company for SOC2 processes (as part of broader operations, not full ownership).

6. CEO Business Support

  • Structure CEO priorities into clear tasks, timelines, and expected outcomes;

  • Optimize CEO’s time and focus based on business priorities;

  • Own follow-ups and ensure execution without constant CEO involvement.

7. Personal Support (Limited Scope)

  • Handle selected personal tasks to ensure CEO’s availability for business priorities;

  • Manage scheduling, urgent personal matters, and occasional logistics;

  • Support with travel coordination when needed.
