Purpose of the Job:


This position provides overall coordination of order preparation, order entry and customer service support in the Clinical Research Services area. In addition, the position will provide day-to-day direction to pre-production specialists in the areas of project coordination, planning estimating, and pre-press, load-leveling work to maximize throughput. The position will also provide direct management of pre-production specialists, providing oversight, cross-training and growth opportunities, as well as accountability for job execution. 


Job Functions and Performance Standards:

  • Participates in hiring process for Pre-Production team, including interviews and influence of final selection 
  • Leads 1x1 discussions with team members on a recurring basis 
  • Provides guidance and resources for Pre-Production Specialists to develop skill sets 
  • Authors and executes formal feedback reviews as required
  • Maintains and updates Pre-Production Specialist onboarding and job training 
  • Implements and administers organizational functions or processes, ensuring they are completed accurately, on time, and in compliance with established policies or regulations. 
  • Tracks processes, preparing reports for management detailing quality and/or quantity of departmental actions. 
  • Assigns staff to tasks based on availability or expertise.   
  • Monitors team efficiency and ensures that output meets expectations 
  • Meets with production management to foster teaming and manage workflow efficiencies 
  • Implements new processes, procedures, or training as required and documents compliance 
  • Provides day-to-day leadership, coaching, and/or mentoring to departmental team members. 
  • Schedules and facilitates interdepartmental meetings to foster collaboration and learning 
  • Leads or participates in process improvement and change management activities 
  • Supports Project Operations as needed with preparation of assigned orders.  
  • Creates print request In TOMS from customer supplied specifications according to established guidelines.  
  • Point of contact for project managers and project assistants. Responds to PM/PMA inquiries on the following: order status, shipping/delivery, invoicing, freight & handling, proposals and information available on the Imperial Marketplace® and Planning Estimating Manufacturing (PEM). 
  • Manages departmental Incident report investigations, and reviews for trends and process improvements. 
  • Serves as the queue master for the PRIO queues, assigning resources to workflows as appropriate to maximize throughput through the department 
  • Monitors workload and determines overtime needs to keep work flowing 
  • Monitors all manufacturing workloads, and re-directs orders to print at the appropriate internal, and external manufacturing facilities to keep the work on schedule. 
  • Meets with production leadership to maintain alignment on processes, timelines and workflow. 
  • Review files for printability including resolution, crops/bleeds, size, completeness and any other attribute that may affect the quality of printing.
  • Support the Imperial team through daily sharing of information and completion of work through the “pool concept”.  
  • Ensure all order management functions are completed from order initiation to order completion and warehouse inventory entry 
  • Perform unique order activities such as assembly on demand sheets, kit coordinator sheets, etc. as needed

Requirements

Education:

Bachelor’s Degree (B.A.) from a four-year college or university 


Licenses/Certifications:

Current driver’s license 


Experience:

  • 5 years’ experience and/or training including supervisor experience. 
  • Experience in graphics arts or pharmaceutical/bio-tech industry preferred. 


Skills:

  • Ability to lead and manage a team 
  • Basic computer skills including, but not limited to the specific software programs: Windows, and the Microsoft Office Suite of Products.  
  • Ability to read and comprehend instructions, correspondence and memos. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients and other employees of the organization. 
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. 
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to calculate figures and amounts such as discounts, margins, etc.  
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral and diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
