The Role
We're hiring someone to own documental systems management - the systems, documentation, and processes that enable our company to operate clearly and scale successfully.
This is not a coordinator or support role. This is a position with real ownership of how our organization is documented, structured, and operated.
What You'll Own
Department: Organizational Establishment & Enablement
1. Organizational Documentation & Job Manuals
- Build and maintain comprehensive job manuals for every position
- Ensure manuals include: purpose, tools, coordination, workflows, relevant policies
- Work with department heads to verify accuracy and completeness
- Standardize format and quality across the organization.
2. SOPs & Workflow Documentation
- Own documentation governance system (standards, templates, review process)
- Work with process owners to document critical workflows
- Review and standardize SOPs for clarity and usability
- Organize OneDrive knowledge base for easy access
- Edit and revise submitted documentation for structure and clarity.
3. Training & Enablement
- Design and coordinate training programs for new processes as needed
- Create training materials that help people understand their work
- Build new hire onboarding curriculum (organizational systems portion)
- Measure training effectiveness.
4. Cross-Functional Workflow Clarity
- Identify and resolve workflow conflicts between departments
- Document handoff points and coordination protocols
- Ensure cross-functional processes are clearly defined.
Qualifications & Experience Required
Experience:
- 3-5 years as Operations Manager, Documentation Systems Manager, Business Operations Manager, Process Improvement Lead, or Internal Systems/Enablement Manager or similar experience
- Microsoft 365 proficiency and expert-level OneDrive and SharePoint organization
- Demonstrated experience creating SOPs, job manuals, and process documentation
- Track record working cross-functionally
- Experience taking ownership of organizational systems/documentation projects
- Professional writing experience
- Comfortable and experienced using AI tools (Claude, ChatGPT, etc.) as a core part of your workflow– not for final review but for drafting, editing and reorganizing to expedite your work

- Proofread for errors, inconsistencies, and poor structure- not just typos

- High standards - catch errors and inconsistencies
- Review own work critically
- Follow set standards exactly and consistently
Investigative/Research Skills:
- Proactively hunt down missing information
- Interview process owners/managers to extract knowledge
Self-Direction & Ownership:
- Work through projects systematically without constant oversight
- Make decisions within scope without constant approval
- Strong judgment on when to decide vs. escalate
Important Additional Skills:
- High-trust collaborator – builds strong working relationships across departments, can work closely with people at any level to extract what’s needed, and communicate proactively

Technical Role Requirements:
- Expert-level Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, OneDrive, SharePoint) – able to build and maintain a logical folder structure, manage version control, set up shared access, and keep a knowledge base navigable for non-technical teams
- Strong document formatting and design skills

This Role is NOT a Good Fit If:
- You’re a strong writer but don’t enjoy the operational, systemic side of documentation work.
- You’ve built your career primarily in content creation, copywriting, marketing writing, or journalism.
- You find editing and rewriting other people’s work tedious or frustrating.
- You need creative latitude to do your best work. This role has defined standards, and your job is to hit it consistently. Suggesting improvements in processes or formats is appreciated, but taking creative liberties is not.
- You need consistent direction and micromanagement.
- You haven’t meaningfully integrated AI tools into your workflow and rely on manual writing or “old-school” drafting/organization methods.
- You struggle with Microsoft OneDrive beyond basic file saving.
- You tend to work on multiple things at once and end up with many incomplete documents, rather than completing one thing fully before moving to the next.
- You struggle with initiating work projects, organization, or communication in general and tend to get overwhelmed easily.

Pay Range: $30-40/hour depending on experience
Hours: Monday-Friday 9am- 6pm EST with one hour lunch break (40 hours a week)
