Job description

Job Summary:

The primary focus of this role will be on performing off-site digitization services, ensuring that all scanning projects are executed on time and meet the highest standards. This role involves indexing or tagging of recorded documents, troubleshooting technical issues, and supporting other projects as needed.


Essential Duties and Responsibilities: 

  • Work closely with project managers and customers to ensure timely execution and completion of digitization tasks, maintaining project schedules.
  • Maintain an inventory of customer documents using Microsoft Excel.
  • Assist with quality checking and correcting scanned images, uploading files to servers, and indexing/tagging images.
  • Other duties and responsibilities as assigned by management. 


Education and Experience: 

  • High School diploma or equivalent required.
  • 0 to 2 years of experience in an office environment, particularly with scanning case files and documents.
  • 0 to 2 years’ experience working with document scanning equipment or in a related field is a plus.


Knowledge, Skills, and Abilities: 

  • Strong ability to use computers and learn new software and interfaces.
  • Proficiency with Microsoft Excel.
  • Ability to troubleshoot technical issues and think critically to solve problems.
  • Excellent organizational skills to manage multiple projects and deadlines effectively.
  • Detail-oriented with a commitment to maintaining high-quality standards.
  • Excellent communication and interpersonal skills to collaborate with team members and clients.
  • Ability to adapt to different work environments.
  • Basic understanding of digital imaging concepts (file types, resolution, aspect ratio, etc.).
  • Familiarity with image correction and indexing/tagging procedures.

  • Ensures high-quality scanned documents and accurate project completion.
  • Ability to quickly learn and operate new scanning software and equipment.
  • Professional demeanor and ability to represent the company positively in customer-facing interactions.
  • Capability to manage small teams and lead scanning projects, ensuring everyone stays on task.
  • Willingness to adapt to new work environments or customer needs.

     Key Performance Indicators (KPIs): 

  • On-Time Completion: Complete 100% of scanning projects within the agreed timelines.
  • Quality of Work: Ensure scanned images meet company standards with less than a 2% error rate in index/tagging
  • Customer Satisfaction: Achieve positive customer feedback, with at least 95% of project managers rating the service as satisfactory or higher.
  • Inventory Accuracy: Maintain 100% accuracy in the inventory of scanned documents and related materials.


Work Environment: 

  • The role is work from home.


Physical Demands: 

  • Ability to lift up to 50 pounds safely.
  • Move customer originals from shelves to workstations and back.
  • Ability to remain in a stationary position for extended periods.
  • Constantly operate a computer and office machinery, such as printers and copy machines.
  • Frequent communication via telephone.
