SUMMARY:
The Travel Reimbursement Specialist primary responsibility will review and process reimbursements for patients/caregiver enrolled in the Patient Travel Program. The role ensures reimbursements are completed in a timely manner utilizing the appropriate platforms. Other miscellaneous functions will include project setup activities, patient onboarding, etc.
ESSENTIAL DUTIES:
- Review, Quality Control (QC), and approve reimbursements submitted to Elligo by sites, patients, and/or caregivers within a 72-hour window of reimbursement submission.
- Onboard new patients/caregiver into internal platforms.
- Conduct travel program review with new patients and sites as needed.
- Issue RealTime cards to patients/caregivers and site coordinators or utilize appropriate approved technology solution.
- Monitor US and outside of US (OUS) pending reimbursement requests.
- Process US/OUS reimbursements for patients and caregivers.
- Collaborate with Travel Program Specialists on US/OUS site communication to confirm study visits as needed.
- Notify the project manager regarding approval requests in a timely manner.
- Support the Travel Program Specialists in utilizing Elligo’s communication system(s) for incoming/outbound calls as needed.
- Set necessary tasks outlined in the project guidance document within Salesforce or other platform.
- Ensure tasks for all travel projects are being completed via Salesforce or other platform.
- Complete the tasks described in the project guidance document within the appropriate timelines
- Monitor and maintain group distribution email inbox.
- Ensure full compliance with Travel Program Guidance documents
- Comply with all IRB/EC, ICH-GCP, and HIPAA guidelines
- Maintain a minimum of 80% utilization
- Attend internal study meetings to review projects and accept delegated tasks.

- Excellent interpersonal and customer relationship skills
- Excellent verbal and written communication skills, including the ability to effectively convey ideas and information clearly and concisely

- Ability to handle competing demands and multifaceted projects
- Ability to show attention to detail
- Knowledge of clinical trials and the clinical trial process is preferred
- Ability to work with functional groups and different levels of employees throughout Elligo to achieve business results effectively and professionally
- Proactive and timely follow-up skills: the ability to organize applicable department timelines and follow up with internal and external stakeholder needs as needed
- Proven track record of building and maintaining solid relationships with both internal and external stakeholders
- Self-motivated; able to work independently to complete tasks respond to department requests and collaborate with others to utilize their resources and knowledge to identify quality solutions
- Demonstrated proficiency with Microsoft 365 applications (Word, Excel, PowerPoint, Outlook, and Teams) and SharePoint
- Experience with ERP applications such as NetSuite is preferred
EDUCATION AND EXPERIENCE:
- High School diploma or equivalent
- 2-4 years of experience in a customer-services based role
ENVIRONMENT:
This is remote position based on the location of the incumbent’s home. This role routinely uses standard office equipment such as computers, printers, copiers, and phones.
Minimal travel (up to 10%) may be required to support the position’s responsibilities.
